- Position Summary: This position manages the logistics of all internal and external meetings, conferences, festivals, concerts, promotional days, receptions, etc. This role serves as the point person for all other departments and works closely with each department to ensure that activities run smoothly and successfully under Garden guidelines and procedures. This position must maintain a good working relationship with all departments and be able to communicate with community partners as well as donors. This role will be instrumental in working with the Director of Business Development to grow and streamline this department to best serve Naples Botanical Garden and its visitors.
Primary Duties and Responsibilities
- Manage the on-site logistics of visitor activities that are in addition to normal daily operations, such as festivals, concerts, meetings, donor events, conferences, promotional days, special activities, etc.
- Manage the organizational calendar, updating as necessary, and training others that submit information.
- Expert user of Tripleseat, updating and modifying as necessary, and training others that need to use it.
- Point of contact to all departments and outside vendors for the various activities and manage those logistics among front-of-house departments.
- Point of contact with event planners whose private events have been allowed by special permission and managing logistics with internal departments as needed.
- Respond to inbound inquiries about private rentals, make decisions and answer questions based upon approved policies and procedures, and escalate issues and questions that warrant additional attention.
- Represent front-of-house operations in committees or teams that include other departments.
- Use project management software, online collaboration tools, and other software and electronic systems that the Garden has designated at a high degree of proficiency.
- Make decisions within approved policies and procedures.
- Create and adhere to budgets and timelines.
- Follow established processes; suggest additions and improvements as necessary.
- Create and produce written materials.
- Work closely with the Director of Business Development on projects that will benefit the Garden as it relates to visitor operations, especially related to cost savings and revenue generation.
Requirements/Qualifications
- Bachelor’s Degree preferred with a minimum of 5 years hospitality or customer service experience.
- Weekends and nights are often required. A flexible schedule is a must.
- Experience managing and leading disparate teams.
- Experience with project and budget management.
- Exceptional organizational skills.
- Solid computer skills including MS Office (word, excel, etc.), Outlook, collaboration software (Teams), and use of web browsers.
- Ability to learn, maintain, and utilize organizational calendar and event/activity software database.
- Excellent communication skills, able to speak, read, and write in English.
- May stand for long periods of time, bending and kneeling.
- Work in fluctuating temperatures.
- Work indoors and outdoors.
- Lift and carry objects up to 10 pounds on a regular basis.
- Have reliable transportation.
