About

Your Role You’ll be the detail-driven force behind the scenes — keeping Skool groups clean, payments current, and every client properly onboarded. You’ll collaborate with leadership to maintain structure, accuracy, and accountability across all offers. Responsibilities Client Systems & Enrollment • Add new clients to the correct Skool groups + verify access in GoHighLevel (GHL) • Audit Skool weekly and remove clients with unpaid or expired memberships • Keep client tags, automations, and pipelines updated in GHL Payments & Invoicing • Monitor and record payments across Stripe / GHL • Send invoices, payment reminders, and follow-ups through Outlook or GHL • Flag failed or missed payments within 24 hours • Coordinate with the team to suspend or reinstate access when payments resolve Inbox & Support • Manage the Outlook inbox for billing + client access questions • Respond within 6 hours — professionally, clearly, and warmly • Forward community questions when appropriate Reporting & Organization • Maintain a simple client-tracking sheet for active / inactive status • Produce weekly updates on payments, enrollments, and at-risk clients • Support backend organization of offers, automations, and client files Who You Are • 1+ years experience as a VA in the coaching / education space • Skilled in Skool + GoHighLevel or willing to learn(required) • Confident using Outlook & Google Drive • Extremely organized with strong communication skills • Takes initiative — you don’t wait to be told twice • Reliable, resourceful, and solution-oriented Success Metrics KPI Target Email Response Time 12 hours Keeps clients supported Payment Collection Rate 95%+ Maintains cash flow Skool Enrollment Accuracy 100% Avoids client confusion Missed Payment Follow-Up 24 hours Ensures accountability Data Accuracy 99%+ Reliable reporting
