About Us KALM is an ERP and related systems consulting and service provider organization. We help clients streamline operations through customized system implementations, integrations, and ongoing support. We are seeking a dependable, detail-oriented Virtual Assistant to support our founders with administrative, financial, and scheduling tasks. This is a remote, long-term position with flexible hours. ________________________________________ Responsibilities • Invoice Preparation: Create and organize client invoices based on service and project data. • Monthly Budget Summaries: Compile simple monthly budget and expense summaries for internal review. • Payment Processing: Assist with preparing and tracking vendor and customer payments. • Scheduling & Coordination: Schedule customer meetings, maintain calendars, and manage follow-up communication. • General Administrative Support: Assist with documentation, inbox organization, and other operational tasks as needed. ________________________________________ Requirements • 2–3+ years of administrative or virtual assistant experience • Experience supporting consulting or professional services organizations (preferred) • Strong proficiency with spreadsheets (Excel/Google Sheets) • Familiarity with invoicing/accounting tools (QuickBooks, Wave, Zoho, or similar) • Excellent written and verbal communication skills • Highly organized, reliable, and able to work independently • Comfortable working remotely and asynchronously
