About the Role We’re looking for a reliable, friendly Virtual Admin Assistant to help us make outbound calls and set appointments. Our company works in the home health care / senior care space, so someone with a health care background or familiarity with medical/home care services is a big plus. This is an ongoing role for the right person who is organized, professional on the phone, and comfortable talking to families and/or medical offices. Responsibilities Make outbound calls to: Prospective clients and families Referral partners (e.g., doctor offices, case managers, facilities) Set and confirm appointments using our scheduling system/online calendar Follow simple call scripts and document call notes clearly Send follow-up messages or reminders (through email, text, or CRM if needed) Update spreadsheets/CRM with accurate information after each call Report daily/weekly on calls made, appointments booked, and outcomes Requirements Excellent English (clear, professional phone voice) Comfortable making outbound calls and speaking with people over the phone Strong organizational skills and attention to detail Reliable internet connection and quiet place to work Ability to work during U.S. business hours (at least part of the day) Familiar with basic tools like: Google Docs / Google Sheets Online calendars (Google Calendar or similar) Preferred (Not Required) Experience in health care, home health, senior care, or medical offices Prior work as: Medical receptionist Scheduler / coordinator Home care / health care admin assistant Experience using a CRM or call tracking system What We’re Looking For in a Person Warm, patient, and respectful on the phone Able to follow processes but also think on your feet Consistent, dependable, and responsive Open to feedback and long-term collaboration To Apply Please start your proposal with the word “CareFirst” so I know you read the description.
