ENGLISH VERSION - NOT ACCEPTABLE WITHOUT SPANISH Long-term Virtual Assistant for E-commerce, Content & Operations (Full Time) I am looking for a proactive, independent Virtual Assistant to become my right hand in my online businesses. I run several Shopify stores and personal brands in the self-development and lifestyle space, and I need someone who can help me execute consistently, stay organised and keep projects moving. This is a long-term, full-time role for someone who loves systems, content and online business operations. You will work mainly with: My personal brand (Instagram: @esthersierra) My online shops on Shopify Digital products, email marketing and automations You don’t need to know everything from day one, but you must be smart, resourceful, and willing to learn fast. Main responsibilities 1. Content & social media support Edit short-form videos for Reels/TikTok using CapCut (basic editing: cuts, subtitles, simple transitions, hooks on screen). Create and edit carousels and simple static posts in Canva using brand guidelines. Organise and schedule content in Meta Business Suite / Later / similar tools. Repurpose existing content (turn lives, long videos or notes into carousels, posts, scripts, etc.). Use AI tools (ChatGPT, etc.) to brainstorm hooks, titles and basic scripts when needed. 2. E-commerce & operations (Shopify) Update products, variants and collections in Shopify. Help with basic inventory management: keeping track of stock levels, SKUs and simple reporting (especially for print-on-demand and stored inventory). Coordinate with warehouses or suppliers when needed (sending updated CSVs, checking shipments, etc.). Prepare simple sales and stock summaries in Notion or spreadsheets. 3. Email marketing & automations Support with simple email campaigns in Klaviyo or Flodesk (duplicating templates, updating text and links, scheduling sends). Keep email lists and segments tidy (tags, segments, basic cleaning). Help maintain basic flows (welcome series, post-purchase, etc.) under my guidance. Assist with ManyChat or similar tools: update flows, add tags, test simple automations. 4. Customer support & community Help reply to customer messages via email, Instagram DM or WhatsApp Business using templates and FAQs. Escalate special cases to me with clear context and proposed options. Support with small community tasks (adding people to groups, sending links or reminders, etc.). 5. Organisation & admin in Notion Keep Notion organised: content databases, tasks, SOPs and project boards. Create and maintain checklists and recurring processes (launches, campaigns, collaborations). Take notes from Looms or calls and turn them into actionable task lists. Prepare simple weekly reports (what was done, metrics, blockers, next steps). Tools you will use Must be comfortable with: Notion (task and project management) Canva (carousels, posts, simple graphics) CapCut or similar (short-form video editing) Shopify (basic product and order management) Meta Business Suite (or similar scheduling tools) Google Drive / Docs / Sheets ChatGPT or similar AI tools Nice to have (or willing to learn): Klaviyo or Flodesk (email marketing) ManyChat (or similar chatbot/DM automation) Gorgias or similar helpdesk Figma, Lightroom, Higgsfield, Nanobanana or other AI/creative tools Requirements Strong Spanish (C1 or native) – most of the content and communication with my audience is in Spanish. Good English reading and writing (B1–B2) to work with tools and templates. Experience as a Virtual Assistant, Operations Assistant or Social Media VA. Very organised, loves checklists, deadlines and structure. Comfortable working 100% remote, async, with clear weekly deliverables. Reliable internet connection and good communication via Slack and Loom. Proactive attitude: you don’t wait for instructions for every small step, you suggest and improve. Schedule and way of working Full-time: approximately 30–40 hours per week. Flexible hours, but with at least 3–4 hours of overlap with European time (CET) from Monday to Friday. We will work mainly via Notion and Slack. One main touchpoint per week (call or Loom), the rest is async communication. Compensation and trial period This is a monthly full-time retainer, not hourly. Trial week: 1 paid week at 50% of the normal weekly rate to test fit, communication and speed. Proposed rate after the trial: 200 USD per week (800 USD per month, paid weekly via Upwork). If we are both happy after the first full month, the collaboration is long-term and there will be room to grow (more responsibility, higher rate, potential bonuses linked to clear KPIs). KPIs (how we’ll know it’s working) Tasks delivered on time and according to the agreed priorities. Notion and systems are tidy and up to date (I always know what is happening and what is next). Content and templates are on-brand and error-free in Spanish. Reduced friction and time spent by me on repetitive tasks. Clear, simple weekly report of what was done, main metrics and blockers. How to apply Please apply ONLY if you read everything above and you are available full time. When you send your proposal, include: A short paragraph about your experience as a VA and the tools you already know (Shopify, Klaviyo, CapCut, Canva, etc.). Your Spanish and English level. Your current timezone and usual working hours. A 2–3 minute Loom (or similar) introducing yourself and walking me through how you organise your work as a VA. Your proposed monthly rate for full-time, and if you are comfortable with the trial week at 50% of the weekly rate. Proposals without Loom or without mentioning the word “ORGANIZED” at the top of your message will not be considered. This helps me see who reads carefully and follows instructions.
