SUMMARY
This position provides specialized technical support for student data at the district level, ensuring data accuracy and integrity across all schools and district-wide initiatives. The role ensures that data entered into the Student Information System (SIS) meets district and state reporting requirements, identifies and resolves data issues, tests system updates, manages audit and compliance reporting, and delivers staff training and documentation. The specialist collaborates with school staff, district leaders, and external partners to support graduation and student success initiatives, enabling data-driven decision-making across the district.
ESSENTIAL JOB FUNCTIONS
- Monitors the accuracy of student data entered into the district’s Student Information System (SIS) to ensure compliance with state and district reporting requirements. Manages audit reporting process, assists schools in identifying and correcting data errors, and recommends new or revised audits as needed to maintain data integrity.
- Collaborates district departments to ensure alignment and consistency of student data. Research issues and recommends solutions to ensure data integrity. Generates and distributes specialized reports to meet the needs of schools, departments, and district leadership.
- Generates and submits compliance reports, including P223, CEDARS, CRDC, and others. Manages the invoice approval process for Running Start, Open Doors, and other specialized programs. Engages with schools and district departments to ensure compliance and reporting accuracy and provides training and updated documentation to support reporting efforts.
- Partners with high schools to ensure students are on track for graduation. Monitors data to identify gaps in graduation requirements and supports early intervention efforts. Manages credit waiver and graduation pathway processes in accordance with state requirements. Recommends new or revised reports and processes to enhance support initiatives.
- Monitors student scheduling to ensure maximum Full-time equivalent (FTE) funding. Reviews consecutive absence data reporting to verify accurate apportionment. Tracks negative withdrawals to support graduation rate reporting and works with schools to resolve discrepancies and assign students to the correct cohort year.
- Ensures third-party integrations are properly functioning with Synergy by collaborating with vendors and TPS departments as needed to maintain data accuracy and system alignment.
- Supports TPS compliance with Washington State Transcript guidelines by adding out-of-district schools and guiding school staff in updating student transcripts to ensure accuracy and regulatory adherence.
- Collaborates with district staff and the SIS department to recommend new or updated processes that support district data and graduation initiatives, tests newly developed reports and specific components of SIS system software upgrades.
- Develops and maintains user guides and documentation and provides staff training across all areas of responsibility.

- Maintains and updates knowledge and skills necessary for success in the position by participating in professional development activities, meetings, seminars, and workshops, as needed or as assigned.
- Maintains a high level of knowledge of the TPS Student Information System and other data reporting systems.
- Maintains knowledge of current developments and requirements related to updates of District, Federal, and State guidelines, and applicable procedures.

- Performs related duties as assigned, on a temporary basis.
- Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.
CONDITIONS
Experiences strict deadlines; required to concentrate on detail and be precise; confined to workstation for prolonged periods; prolonged visual and mental concentration on high volume of detail; prolonged exposure to visual display terminal; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.
Minimum Qualifications
MINIMUM QUALIFICATIONS
Education and Experience
High school graduation or equivalent; Associates degree in Computer Science, Business Administration, or related field, preferred; three years of increasingly responsible experience using a student information system; experience with District supported applications, enrollment software, and learning management systems, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Licenses/Special Requirements
Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.
Allowable Substitution
Alternative combinations of technical training in data processing and work experience will be evaluated by Human Resources for comparability.
