Departmental Role

  • The Staff Accountant is responsible for Accounts Payable, Accounts Receivable, and some account reconciliations.

Responsibilities

Accounts Payable (AP)

  • Review invoices for proper classification and required elements. Ensure the information package is complete prior to issuing ACH or check payments
  • Compile payment requests and invoices into batches prior to entering data and entering into the accounting system
  • Prepare journal entries as necessary
  • Obtain ACH instructions
  • Issue ACH payments
  • Print, obtain signatures on checks and mail checks
  • Maintain files, issue month end and year end reports
  • Obtain W-9 forms and add approved vendors into system
  • Prepare a list of eligible vendors for 1099 processing
  • Ensure all cash transactions have been entered into general ledger prior to month end
  • Accounts Receivable
  • Receipting (Cash Portion)
  • Prepare & process check log items after approval by entering receipts into reports as necessary, and enter approved check logs into the general ledger according to established procedures
  • Match deposits to the daily bank report, as needed
  • File and maintain receipting records for all cash accounts according to established policies

Payroll and 401(k)

  • Work with HR administrator to process payroll
  • Process funds transfer paperwork during payroll weeks under a tight deadline
  • Prepare payroll and 401k journal entries

Account Reconciliations

  • Prepare monthly reconciliations as assigned
  • Make adjustments to reconcile, as necessary and directed

Audits

  • Prepare necessary reports, work papers and schedules, as assigned
  • Assist with compiling audit document packages, as needed

Other

  • Maintain record retention
  • Prepare Journal Entries as needed
  • Prepare other entries as needed
  • Create invoices as needed
  • Assist with account reconciliations as needed
  • Assist with special projects, supply ordering, monitoring leases in the Finance department, and facility management as needed
  • Ability to lift up to 40 lbs
  • Salary Range: $50,000-$55,000
  • Requirements

Qualifications

  • Minimum 1-3 years of accounting experience with AP and/or AR required
  • Bachelor’s Degree in Accounting
  • Experience with not-for-profit accounting, a plus
  • Ability to manage multiple projects and tasks successfully
  • Demonstrated oral and written communication skills
  • Experience and demonstrated ability to work as part of a team
  • Ability to improve and document processes & procedures
  • Proficiency in the use of information technology - Windows office environment, word processing, spreadsheet, database, Internet, accounting systems. Experience with MIP Non-Profit Fund Accounting system, a plus
