JLL has a great opportunity to join our Retail Property Management Team at the Eden Prairie Center. The Center is a 1.4 million square-foot, two-level retail property managed by JLL. The shopping center is in the southwest Twin Cities suburb of Eden Prairie, MN with over 100 shops and restaurants. POSITION BRIEF: The full-time Specialty Licensing Coordinator works under the direction of the Sr. General Manager and Specialty Licensing Manager and serves as a contact for both existing and prospective Specialty Leasing tenants. Key responsibilities of this position include extensive tenant interaction; implementation of the license agreement approval, execution and administration process; coordination of inline/kiosk tenants move in and move out; ensuring compliance with mall common area usage policies and procedures; administration of specialty leasing budget and forecasting reports; assistance with specialty leasing generation; and serving as a liaison to vendors and the public. The ideal candidate has 3+ years of experience in a senior level administrative support position and/or previous experience in the shopping center or commercial real estate industry. Above average ability to communicate tactfully, skillfully, and persuasively in challenging situations with retailers, property team and executive management is necessary, along with excellent trouble shooting and problem resolution skills. The ability to analyze and understand budgets, financial reports and standard business contracts is also required. Excellent proficiency with Microsoft Office programs, specifically with Microsoft Word, Excel and Outlook is needed. This position requires a proven ability to work independently, be flexible, prioritize and deal with multiple tasks, proactively and effectively establish priorities; and have a cheerful outlook. RESPONSIBILITIES AND OBJECTIVES: • Assist the Sr. General Manager and Specialty Leasing Manager in achieving Specialty Leasing’s income, receivables, expense, and occupancy goals for Eden Prairie Center. • Assist with specialty leasing budget generation and forecasting. • Update and maintain revenue tracking report for specialty leasing agreements. • Generate and review financial reports and notify Property Accountant of any issues. • Coordinate inline/kiosk tenants’ move in and move out including turnover of keys, clean premises with appropriate shelves, any other required fixtures, and functional electrical and phone lines in appropriate party’s name/account. • Maintain visual standards and other compliance guidelines set forth by the company. This entails walking the shopping center daily to ensure the retail merchandising unit, kiosk, and inline tenants, show promoters, advertisers and sponsors are adhering to our high visual and operating standards. Monitor and report other items or areas that may require follow up by other property team members. • Communicate and coordinate with contracted part-time visual merchandiser for move in and move out of displays for specialty leasing tenants, show promoters, advertisers, and sponsors. • Oversee administrative details for license agreements, sponsorship or advertising agreements, and storage agreements. • Meticulously organize, collect, enter, update, record, and ensure accuracy within deadlines of all files/information for specialty leasing approvals, agreements, amendments, photo documentation, security deposits, rental receipts, sales, percentage rent calculations, related financials, forecasting and reporting. Track agreement executions and renewals to meet required timelines. Distribute requirements, collect specialty leasing tenants’ acknowledgments, and ensure compliance of all appropriate certificates of insurance, rules and regulations, demonstration regulations, merchant manual, kiosk criteria manual and signage criteria. • Be familiar with all inventory and pricing rates for specialty leasing retail merchandising units, kiosks, inline premises, show placements, sky banner advertising and common area advertising, including all placements, detailed specifications, and production alternatives. Inspect and coordinate the storage, function, efficient and safe maintenance, repair and replacement of specialty leasing’s inventory, equipment, and supplies. • Maintain familiarity of existing tenant exclusives and kiosk restriction zones. • Monitor tenant expirations and openings. Appropriately plan, mask, or merchandise any inline store’s downtime or closure to meet high visual and operating standards. • Appropriately forward call-ins, walk-ins or other inquiries and assist in lead generation. Request, process, and record applications. • Successfully balance the requirements of this position including prioritization and time management. • Other duties and responsibilities as assigned. QUALIFICATIONS & SKILLS: Requirements • Bachelor’s Degree or equivalent experience strongly preferred • Real Estate Salesperson license required within 120 days • 3+ years of experience in a senior level administrative support position and/or previous experience in the shopping center or commercial real estate sales. • Excellent proficiency with PC, Microsoft Office programs, specifically with Microsoft Word, Excel, and Outlook. • Above average ability to communicate tactfully, skillfully, and persuasively in challenging situations with retailers, property team and executive management, along with excellent trouble shooting and problem resolution skills • Proven ability to work independently, be flexible, prioritize and deal with multiple tasks; proactively and effectively establish priorities and have a cheerful outlook • Solid analytical skills with working knowledge of budgeting, accounting, and financial analysis; ability to review and understand financial reports • Ability to read and understand standard business documentation and contract language • Comfortable working in a fast paced, highly dynamic work environment; exceptional organizational, time management, oral and written communication skills • Must be able to lift 40 pounds • Routine walking and climbing on the job inside the shopping center is required to load, cart, move, place, set up, tear down and store retail merchandising units, shelving, fixtures and displays • Works with tools of the trade • Valid driver’s license required • Must be willing and able to support some after-hours activities such as coordination of holiday season tenants’ move ins and move outs Estimated compensation for this position: 64,000.00 – 68,000.00 USD per year This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
