Role Summary:

We're looking for a proactive and systems-minded Project Manager/Senior Project Manager who acts as the glue between teams and tasks—someone who can bring structure, accountability, and momentum to a creative, sometimes chaotic environment. Reporting directly to one of the founders, you’ll play a central role in operationalizing workflows, owning Monday.com project spaces, and supporting internal initiatives.

This is not a traditional "checklist PM" role. You’ll be expected to build, implement, and maintain systems, manage deliverables across teams, and proactively problem-solve. If you love creating order out of complexity, working with a values-driven and jokey team, and being both the conductor and backstage operator, we want to hear from you.

Key Responsibilities:

1. Workflow & Systems Management

  • Own and manage project boards, workflows and automation within Monday.com
  • Build, document, and train the team on new systems, dashboards, and procedures within Monday.com
  • Track deliverables, deadlines, and team accountability on implementation and uses of operational systems
  • Help build and maintain Standard Operating Procedures (SOPs)
  • Monitor systems usage and retrain/remind teams when tools are underutilized

2. Financial & Admin Support

  • Oversee basic financial tracking systems
  • Draft invoices for contractors and clients
  • Taking on some internal culture work, such as organizing monthly staff happy hours as well as monthly process trainings
  • Manage contracts through Monday.com lifecycle forms and check-ins
  • Ad hoc operational support that arises for the C-Suite such as:
    • PTO bank
    • Setting up an invoice automations between Monday and Xero
    • Setting up company swag
    • Build a document that c-suite updates monthly that shows quickly who is staffed on what accounts
    • Building a database that we can fill in with people's skillsets, build password security dashboard, etc

3. Project Oversight & Execution

  • Monitor all operations-based active projects and tasks—serve as the central reference point across teams
  • Ensure deliverables are completed on time, and risks are escalated early
  • Provide weekly updates and maintain visibility across project lifecycles

4. Special Projects & Strategic Initiatives

  • Conduct research for new initiatives (e.g., affiliate platforms, vendor partnerships)
  • Lead implementation of operational updates across the org (e.g., ads workflow rollout)
  • Identify process gaps and take initiative to close them—before being asked
Must-Haves:
  • Experience in operations, project management, or program coordination
  • Attention to detail
  • Highly analytical
  • Self-learner
  • Strong fluency with project management platforms (Asana, Monday.com, ClickUp, Airtable, etc.)
  • Ability to create automations, link boards, and standardize processes
  • Demonstrated ability to build and implement workflows, not just maintain them
  • Excellent communication and follow-through skills—written and verbal
  • Experience managing or coordinating across cross-functional teams
  • Comfortable being “friendly assertive” and giving/reminding others on tasks, even with people who are more senior at the company
  • High level of self-direction and the ability to push initiatives independently
  • Experience working in a fast-paced startup or, creative agency, or nonprofit environment
Nice-to-Haves:
  • Comfort building and maintaining internal as well as client-facing project structures (CRM, onboarding workflows, deliverable tracking)
  • Ability to draft basic documentation, SOPs, and internal training materials
  • Familiarity with contract management and invoice creation workflows
  • Background or exposure to values-driven or diverse workplaces
Cultural & Personality Fit:
  • Friendly and collaborative but not afraid to push back when needed
  • Detail-oriented but able to see the big picture
  • Able to balance proactivity alongside reactivity, both responding to needs as they arise while building out new processes
  • Comfortable in a diverse, jokey, but serious about their work team culture
  • Receptive to feedback and comfortable giving it in a constructive way
  • Excited by the idea of bringing order to chaos and growing with a mission-oriented team
  • Excited to help build this role with the COO
