Montefiore’s Center for Transplantation is an internationally recognized center for adult and pediatric transplantation. Home to the first lung-liver transplant in New York State and one of the few hospitals in the nation to perform dual organ transplants for patients with simultaneous heart, liver, kidney or lung failure, we have one of the longest-running transplant programs in the world. The Secretary II will be responsible for providing secretarial and routine administrative duties. The Secretary II will support the daily operation of physician office hours including coverage of the front end, diversified and complex clerical duties, and provide support to patients following office visits or surgical procedures. This position requires prioritizing assignments and organizing functions to insure effective office operations. Responsibilities: • Requires knowledge of medical or equally complex terminology. Excellent interpersonal and customer service skills • Operate computer, fax machine, scanner, copier and telephone • Greet patients at front desk, answer phones, perform arrival procedure of: updating computer, collecting co-pay and updating demographic and insurance information • Obtain authorizations and scheduling diagnostic studies: EKG's, MRI's, Cat Scans, Bone Scan's etc. • Document patient encounters and phone notes into EPIC. All patient requests to be generated via EPIC. Scan all medical documents and financial information into EPIC. Complete all alerts and flags in EPIC in a timely fashion • Contact vendors for surgical procedures verifying all information / equipment is available in the OR • Schedule all surgical procedures and obtain authorizations. Update surgical checklist in EPIC as the surgical requirements are met • Complete all EPIC phone notes, alerts and flags and other correspondence • Process patient paper work in cohort with attending physician. Schedule surgical procedures and diagnostic studies, schedule and authorize diagnostic studies • Screen and respond to telephone and mail inquiries. Research and prepare data in response to routine inquiries and assists physicians in preparing paperwork for insurance companies, work, and billing purposes • Process all legal medical requests and correspondence • Provide necessary coverage to the other specialties • Provide clerical support for department including maintaining accounts, logs and records, billing patients, providing phone coverage, process physician dictations and distributing mail • Utilize PC programs and spreadsheet software to design forms and reports, store and retrieve information. May assist in administering PC based systems and resolving minor problems. Enhance department's capability to access and process information and improve interoffice electronic communication • Maintain inventory of office supplies and equipment specific to physician/patient support. Ensure adequate office supplies in order to function efficiently • Prepare and type correspondence, reports and forms Qualifications: • High School Diploma/GED required; Bachelor's Degree preferred • Minimum 3 years or more administrative / secretarial experience required • Bilingual English/Spanish preferred • Experience with Microsoft Office programs and other PC based systems/programs required • Ability to type 40 wpm required • Experience with EPIC • Knowledge of customer relations skills and communication techniques required to interact with patients and industry professionals Montefiore Medical Center is an equal employment opportunity employer.
