The Schedule Coordinator has an integral role within the Program Management Office (PMO). In this role your essential responsibility is to execute processes deploying IAP employees in a timely manner (Right People, Right Place, Right Time). You will work closely and in collaboration with the PMO staff and the Travel Coordination team. To be successful, the Scheduling Coordinator will understand the training and travel requirements of employees, work independently as required, and receive a moderate amount of detailed supervision and guidance. The position requires an individual who is detail orientated, able to manage multiple tasks, and can maintain accurate staffing schedule documentation. The program is a global services program providing 24/7/365 support, the Scheduling Coordinator should expect infrequent requests for support from our deployed staff during non-working hours. ESSENTIAL JOB FUNCTIONS: (not limited to duties as described – performs related duties as requested) Coordinate travel reservations with Travel Coordinator team Coordinate Training, and other authorized rotations with Travel Coordinator team, ensuring program wide mission staffing levels are maintained Schedule pre-deployment medical screening and appropriate medical clearances in accordance with USG Regulations Coordinate Passports, Visas, and Work Permit requirements Provide schedule input concerning staffing summaries for monthly Program Management Review (PMR) Provide schedule input concerning staffing approaches for the PMP Provide schedule input concerning Staffing Matrix Wire Diagram (CDRL 019) Provide schedule input for Efficiency & Improvements Recommendation Document (CDRL 027) Provide principal administrative support in the Program Management Office Maintain a close and highly responsive relationship to the day-to-day activities of the supervisor and staff Limited physical demands, possible travel for 3 or 4 days to domestic locations EDUCATION & EXPERIENCE: This position involves heavy customer (employee) interaction and therefore requires superior customer service.
