We are a fast-growing B2B equipment & technology company (Printree) looking for a **high-performance Sales Admin & Operations Assistant** who thrives in a fast-paced environment, solves problems independently, and delivers work with speed and accuracy. This role is NOT for someone who needs to be micromanaged, waits around for instructions, or freezes when they hit a small roadblock. You must be the opposite of that. We operate quickly, we build systems, and we execute. You must match that energy. --- # **WHY THIS ROLE MATTERS** Our sales pipeline runs through HubSpot. Our proposals, quotes, service tickets, supply orders, and delivery scheduling depend on accurate, fast execution. That means we need someone who: ### ✔ doesn’t slow us down ### ✔ doesn’t wait for direction ### ✔ keeps the momentum going ### ✔ solves problems instead of reporting them ### ✔ finishes tasks SAME DAY unless impossible This role will directly support our sales team so they can stay focused on closing deals. If you are someone who loves being a “behind-the-scenes operator” who makes everything run smoothly — this job will be a great fit. --- # **WHAT WE ARE LOOKING FOR** We want the **exact opposite** of a passive, slow worker. Meaning you MUST be: ### ✔ **Extremely proactive** You take action without being told. You anticipate needs. You think ahead. ### ✔ **A strong problem solver** If you get stuck, you try 2–3 solutions before asking. You Google things. You check past instructions. You troubleshoot like an adult. ### ✔ **Fast and efficient** Tasks should be completed same day. You move quickly without sacrificing quality. ### ✔ **Independent** We do NOT want someone who sends one message and waits 3–4 hours doing nothing. If your manager doesn’t reply, you follow up. If you hit a roadblock, you push through it. ### ✔ **Detail-oriented** Proposals should be perfect. Numbers should be accurate. Formatting should be clean. No sloppiness. ### ✔ **Hungry to learn** If you don’t know HubSpot yet, you’ll learn fast. We don’t mind training — we mind laziness. --- # **WHAT WE ARE *NOT* LOOKING FOR (please read carefully)** Do **NOT** apply if you are: ❌ someone who waits hours for replies before continuing ❌ someone who asks one question and then stops working ❌ someone who needs every step explained ❌ someone who is slow ❌ someone who freezes when confused ❌ someone who doesn't double-message when needed ❌ someone who cannot troubleshoot technical issues ❌ someone who makes sloppy proposal errors ❌ someone who isn’t reliable with time and availability ❌ someone who only follows instructions and never thinks ahead ❌ someone who sends problems instead of solutions This job is only for people who take ownership and move fast. --- # **RESPONSIBILITIES (VERY IMPORTANT SECTION — READ CAREFULLY)** This role includes daily administrative and operational support. ### **🔹 1. HubSpot Sales Pipeline Management** * Maintain deals and contact properties * Move deals through stages accurately * Create follow-up tasks * Keep all data clean, organized, and updated * Check for missing fields or incorrect information * Ensure every deal progresses with ZERO stalls You’ll be responsible for making sure deals never get stuck or forgotten. --- ### **🔹 2. Proposal & Document Preparation** You will frequently prepare: * Copier lease proposals * Purchase quotes * Side-by-side comparisons * P&L breakdowns * Google Sheets tables * PDFs & Docs with proper formatting High accuracy is critical here — **was the biggest past issue with our previous admin**. Sloppy work = immediate disqualification. --- ### **🔹 3. Daily Operational Support** You will assist with: * Scheduling deliveries (no customer calling — internal scheduling only) * Logging service tickets * Coordinating supply orders * Updating spreadsheets * Organizing files and folders You should be able to quickly understand our workflows and take responsibility for completing them without being asked twice. --- ### **🔹 4. Resolving Small Roadblocks Independently** Examples: * Login credentials not working * HubSpot field won’t save * A document won’t format correctly * A proposal template has an error * A Google Sheet formula breaks We expect you to: 1. Try at least 2–3 things first 2. Check past instructions 3. Search Google / Help Guides 4. THEN send a message 5. And if no answer in 20 minutes → message again You should NEVER stop working or wait hours doing nothing. Momentum is everything. --- ### **🔹 5. Daily Progress Reporting (Non-negotiable)** At the end of every day, you will send a **short, structured update**: * Tasks completed today * Outstanding tasks * Any roadblocks you solved * Any roadblocks requiring input * What you plan to do tomorrow This is essential for visibility and performance. --- # **REQUIRED CHARACTER TRAITS (THE MOST IMPORTANT PART OF THE JOB)** Read this carefully. You don’t go silent. You double-message when needed. --- # **TECH & TOOL REQUIREMENTS** You must be comfortable with: * Google Sheets (intermediate level needed) * Google Docs * PDFs + formatting * Basic CRM usage * Learning new systems quickly ### **HubSpot experience is NOT required, but learning speed is.** --- # **AVAILABILITY** This is a **full-time role (30–40 hours/week)**.
