Your Role
Job duties and responsibilities include but are not limited to
- · Assist in creatively planning, leading, coordinating and evaluating outdoor special events and ceremonies for a diverse audience.
- · Recruitment and coordination of exhibitors and food vendors for each event to include application development, selection process, and managing supporting documents required by the City of Virginia Beach.
- · Operate a multi-line telephone, as the main form of communication, to provide information and answer questions to vendors, patrons, and contractors. Follow up with email communication as needed.
- · Maintain ongoing communication before, during, and after each event.
- · Utilize microcomputers (Microsoft Word, Excel, Outlook, Teams, and ACTIVE Net) in daily functions and tasks.
- · Utilize event-related software to create accounts, process transactions and run reports for vendors, exhibitors, and other event related registration.
- · Maintain confidentiality of vendors, participants, and organization information.
- · Develop and maintain ongoing internal communications and working relationships among department staff and City agencies and departments, citizens, and customers.
- · Provide manual labor for events and ceremonies to include setup and breakdown.
- · Assist in completing event permits, create event layouts and other event related documents.
- · Assist in managing and maintaining equipment and supply inventory.
- · Assist in coordinating deliveries of park system equipment and contractual equipment to park sites for various events and ceremonies within department and other city agencies.
- · Participate in scheduled meetings and mandatory meetings.
- · Ability to work independently and in a team environment.
- · Must be able to work varied hours evenings, nights, holidays, and weekends in an outdoor environment in
- various weather conditions and for extended periods of time greater than 8 hours.
- · Enforce City policies, procedures, regulations, and safety practices; assist with the investigation of accidents and incidents occurring within the facility and event/program, and ensure corrective action is initiated as needed; coordinate with other City agencies and staff as needed.
- · Assist the permitting office with private rentals with load in and set up as needed.
- · Assist with unit outdoor programs as needed including but not limited to kayaking, nature-based programs, and camps, and environmental programs.
