Job Description I’m a high-producing real estate agent seeking a highly organized, tech-savvy virtual admin to help migrate my backend systems, rebuild my digital workspace, and assist with onboarding into a new brokerage environment. This is a project-based role (20–40 hours) with the possibility of ongoing support after the initial transition. Responsibilities -System Migration (Google → Microsoft 365) -Transfer and organize documents from Google Drive into OneDrive/SharePoint -Rebuild folder structures, naming conventions, and permissions -Set up Outlook folders, rules, and branded email signatures -Ensure a smooth transition from Google Suite to Microsoft 365 -Archive Management -Securely store and organize an .mbox email archive within Google Drive -Create a clean, labeled archive folder system -Prepare a simple guide for future restoration of the archive if needed -Onboarding Into New Brokerage Systems -Assist with setup and optimization of new CRM and marketing platforms -Help configure Microsoft 365 tools (Outlook, Teams, SharePoint, OneDrive) -Upload headshots, bio, branding assets, and templates -Build a structured “Operations Hub” for easy access to essential systems, links, and resources -CRM Setup -Import contacts from CSV (from previous CRM) -Clean and normalize data (merge duplicates, correct formatting, apply tags) -Set up pipelines, stages, tags, and nurture sequences -File + Transaction Organization -Download and reorganize past contracts, leases, and closing files -Re-upload documents into the new transaction management system -Create consistent naming conventions and folder standards -Marketing Systems Setup -Rebuild Mailchimp audiences, segments, and templates -Organize Canva projects, branding assets, listing photos, and social content -Create a well-structured content library for ongoing marketing use Requirements -Experience as a real estate VA or operations assistant (preferred) -Strong knowledge of Google Workspace AND Microsoft 365 -Experience with CRM migrations (rechat highly prefered) -Highly organized and detail-oriented -Excellent written and verbal English -Ability to work independently and meet deadlines -Familiarity with NYC real estate workflows is a plus Project Duration -20–40 hours for the initial migration and onboarding -Potential for ongoing weekly/monthly admin support
