Project Manager — AI Coaching Agency We’re seeking a dedicated and detail-oriented Project Manager to help oversee daily operations, client interactions, and internal coordination across our AI-powered coaching agency. You’ll be the organizational backbone — ensuring communications flow, projects stay on track, and our clients feel fully supported from onboarding to delivery. Key Responsibilities Manage client communications, calls, and follow-ups with professionalism and empathy Coordinate with internal teams (marketing, AI, design, operations) to ensure timely deliverables Track project milestones, deadlines, and deliverables in ClickUp, Notion, or similar tools Document processes, maintain project dashboards, and flag bottlenecks before they arise Support client onboarding, feedback loops, and weekly check-ins Prepare reports and recaps summarizing progress, KPIs, and next steps Ideal Candidate 2+ years of experience in project management or operations (agency or coaching experience a plus) Excellent communication and organizational skills — proactive, not reactive Tech-savvy with tools like ClickUp, Notion, Slack, and GHL Comfortable working with creative and AI-driven teams Thrives in a fast-moving, entrepreneurial environment High emotional intelligence — able to manage clients and keep projects aligned with vision What Success Looks Like Projects run smoothly without bottlenecks Clients feel seen, supported, and confident in progress Team communication is clear, efficient, and consistent You anticipate needs before they become problems Role Details Type: Part-Time (20–30 hrs/week) with potential for full-time Compensation: Competitive, based on experience Location: Remote (EST time zone preferred) Start Date: Immediate
