If you want a slow, comfortable seat, this isn’t it. ⸻ → Role At FocusFlow, delivery isn’t just getting tasks done; it’s how we create speed and trust. As our Project Manager, you are the operational core once a client signs. You set up the WhatsApp chat, collect access and files, set simple rules for how we work, and keep the client calm and informed. You also build the Blueprint yourself. A Blueprint here is a visual plan in Miro, like a big slide deck. It uses boxes and arrows to show how the offer, funnel, and content connect. It includes screenshots and examples from research and competitors next to what the client has now. It names owners, dates, and what “done” looks like. You take inputs from the Research Analyst and the founders’ strategy, turn them into this plan, get approval, and present it to the client. Day to day you lead Phases 1 to 3: research, build and launch, then maintain and improve. The team does most of the hands-on work; you orchestrate. You assign owners, clear blockers, check quality, and guard scope. You send a short daily update, reply within one hour during coverage, and write everything in Notion so nothing slips. You spot risks early and give options. Your job is to keep the plan clear, the pace steady, and the client confident. ⸻ → Responsibilities Own onboarding • Prepare all on-boarding materials for client. • Get added to the WhatsApp group with client + founders. • Collect logins, files, and any necessary info. • Set simple rules: how we talk, when we update, what “done” means. Phase 1 — Research → Blueprint • Assign tasks to our Research Analyst who does majority of the research phase deliverables. • Pull founder notes and strategy. • Write the Blueprint yourself in an organized Miro presentation (clear goals, steps, owners, dates). • Get founder approval. Share it with the client. Phase 2 — Build & Launch • Assign tasks to editors, designers, product builders, quality assurance person, copywriter, web/email designer. • Check work meets the Blueprint. • Clear blockers fast; bring options if stuck. • Guard scope; propose change orders (founder signs off). • Keep files tidy and links live. Phase 3 — Maintain & Improve • Retrieve data analytics from data team and relay to client. • Track results and plan tweaks. • Schedule updates and fixes. Communication & Rhythm • Reply to client messages in ≤1 hour during coverage. • Send a short Daily Client Brief (status, what moved, blockers, next 48 hrs) in the internal Slack for each specific client so Matt is up to date. ⸻ Requirements Must-haves • Experience running projects in marketing, content, or launches. • You’ve led work across many people and moving parts for 3–6 months at a time. • You can write a clean Blueprint from raw notes and research. • Strong with Notion (our source of truth). Good with Miro, Slack, Loom, WhatsApp. • Fast, clear writing: briefs, task notes, decisions, ETAs. • You reply within ≤1 hour during coverage and keep calm under pressure. • You can hold 4–6 active clients without dropping a ball. • You protect client info and follow NDAs. • You improve processes as you go (SOPs, checklists, dashboards). Nice-to-haves • Experience with creators, funnels, email, or content ops. • Light QA eye (you can spot “off-brief” work before the client does). • Basic numbers sense (can read a simple dashboard and call next steps). ⸻ Results • Clients feel held. You send a short daily update and answer within ≤1 hour in coverage. No surprises. • Launches hit dates. Milestones are met; risks are called early with options to fix. • Blueprints land right. First draft is clean and approved with minimal edits; the team can build from it. • Zero drop rate. Every task, file, and decision is logged in Notion the same day. • Faster every month. You ship improved processes (SOP, checklist, dashboard) that saves time or reduces errors. • Founders free to build. Fewer fires, clearer plans, smoother client calls. • Clear at a glance. Notion shows status, owners, next steps, and blockers—anyone can see where things stand.
