Promote the goals and core values of Accurate Private Care, Inc. by demonstrating professional and ethical work practices while fostering excellence in setting up care for our clients with a focus on customer service.
Assist the Senior Scheduling Coordinator evenings, weekends and holidays in coordinating the day-to-day scheduling of on-call caregivers to fulfill the service needs of our Home Care Services clients. Ensure any open schedules due to caregiver call-ins are filled timely. Ensure appropriate match of staff skills and client needs. Enter schedules into Wellsky system and notify all relevant parties. Document and forward any intake information to the appropriate staff member of Accurate Private Care, Inc.
Schedule
- Remote but must reside in IL
- Every other weekend: Friday 5pm-Monday 9am
- Two night during weekday: Alternating between Monday & Tuesday or Wednesday & Thursday, 5pm-9am
- Holidays as needed
Responsibilities
- Assume responsibility for the on-call phone after hours, weekends and holidays as scheduled, 5pm-9am weekdays (usually 2 weekdays), and every other weekend Friday 5pm-Monday 9am to address the emergency needs of on-call home care service staff and clients, i.e. call offs, changes in scheduling requests, and other issues related to scheduling.
- Coordinate schedules with assigned Case Manager and other staff involved in service requests for client.
- Ensure schedules are entered timely and accurately with correct rates.
- Report any possible errors found regarding schedules or rates.
- Ensure that staff skill level is appropriate to meet various client needs.
- Work to ensure overtime spending is minimized and that resources are utilized in a manner consistent with good practice.
- Maintain and maximize staff availability to efficiently meet client service needs.
- Gather intake information from calls coming through the main line and forward to the appropriate staff member.
- Utilize basic knowledge of Accurate Private Care, Inc. services to be able to answer client’s and staff questions about services and other topics.
- Ensure that inquiries are handled within specified timeframes.
- Ensure information regarding clients and caregivers, e.g. start of care, rates, schedules, availability and contact information is entered and maintained accurately in Wellsky.
- Promote positive, ongoing relationships with on-call caregiver staff, clients, their families, and vendors by communicating professionally and regularly with them.
- All other duties as assigned.
Physical Requirements & Work Environment
- Remote, must reside in Illinois.
- The employee frequently is required to use manual and finger dexterity and eye-hand coordination when handling office equipment (i.e. computers, copier, etc.).
- Requires corrected vision and hearing within normal range.
- The employee must occasionally lift and/or move up to 10 pounds.
- Work schedule includes working weekday evenings, weekends and holidays as scheduled.
Qualifications
- Prior Scheduling experience is a must.
- High school diploma; six months clerical experience and/or training; or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
- Ability to read, comprehend and interpret documents in English such as safety procedures, general office procedures, and operational manuals.
- Ability to write routine reports and correspondence.
- Ability to speak English effectively to employees, customers, and other individuals.
- Ability to respond effectively to sensitive inquiries or complaints.
- Possess basic personal computer skills and ability to utilize various software programs.
Job Types: Full-time, Part-time
Pay: $125.00 - $375.00 per day
