  • JOB SUMMARY: The Part-Time Office Coordinator provides essential administrative and organizational support to ensure the smooth and efficient operation of the office. This role manages daily tasks such as sorting and distributing mail, preparing outgoing correspondence, maintaining office supplies, and coordinating internal communications. They also organize on-site events and meetings, including scheduling rooms, arranging meals, and welcoming vendors and partners. They also support community events through registration and materials management, oversee the distribution and summary of patient satisfaction and staff engagement surveys, and assist with board meeting materials and documentation.

ESSENTIAL FUNCTIONS

  • Mail
  • Sort and distribute delivered mail
  • Prep outgoing mail with enveloping and postage
  • Coordinate the distribution and result summary of patient satisfaction and staff engagement surveys
  • Coordinate on-site events (booking of rooms, set up of rooms, meals (as needed), welcome vendor/partner)
  • Lunch-and-learns
  • Clinic-wide trainings
  • Meetings with community partners and external stakeholders
  • Support community events
  • Event registration
  • Ordering of materials, as needed
  • Manage office supplies
  • Compile items for weekly all-staff email; generate and send email
  • Manage materials related to board meetings (packets, meeting minutes, etc.)
  • Other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent written and verbal communication abilities.
  • Strong interpersonal skills
  • Ability to handle multiple projects simultaneously and set priorities.
  • Ability to work independently and with professional discretion.
  • Ability to work in a fast-paced clinic environment and as part of a team.
  • Proficient in using Microsoft office products (Word, Excel, Access, Outlook and PowerPoint).
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Ability to take complete, legible messages and meeting minutes. Careful documentation and attention to detail.
  • Ability to maintain a high level of confidentiality.
  • Ability to utilize positive customer service skills.
  • Skill in identifying problems, problem solving and resolution.
  • Demonstrated high skill level in gathering and reporting information.
  • Knowledge of regulations and laws regarding appropriate use of patient health information.
  • Ability to perform the job in accordance with Riverland Community Health's Standards of Business Conduct, which includes compliance, ethics and integrity, confidentiality, protection of assets and avoidance of conflicts of interest and inappropriate business relationships.

EDUCATION/EXPERIENCE

  • High school diploma or equivalent is required.
  • Associates degree in Business Administration, Office Management, or a related field is preferred.
  • Minimum 1 year’s administrative or office coordination experience is required.
  • Experience supporting event planning, communications, or customer service functions preferred.
  • Experience working with office technology required.
  • Experience in a healthcare organization is strongly preferred.

PHYSICAL DEMANDS

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

WORK ENVIRONMENT

  • Work is performed in a clinic office environment. Contact with staff, patients and outside agencies. Possible exposure to communicable disease and medical preparations common to clinic environment.
  • The hourly rate for this position is $21-$31 depending on experience.
