  • SUMMARY
  • The Next Gen Admin provides essential administrative, organizational, and ministry support for the Next Gen Pastor. This role will directly assist with the Young Adults Ministry, the Pastoral Residency Program, and the Ministry Training Institute. The Next Gen Admin helps ensure that each ministry operates smoothly through excellent communication, reliable systems, strong attention to detail, and a heart for discipleship.
  • This person serves as a key support to the Next Gen Pastor and plays an important part in creating environments where young adults and ministry trainees can grow spiritually, develop leadership, and serve the church.
  • Requirements
  • KEY RESPONSIBILITIES

As a vital team member within the Next-Gen ministry team, your responsibilities include, but are not limited to

  • Administrative Support
  • Provide day-to-day administrative assistance to the Next Gen Pastor.
  • Manage calendars, schedule meetings, and coordinate ministry appointments.
  • Prepare documents, reports, presentations, and ministry communication as needed.
  • Organize digital files, track projects, and ensure timely follow-up on tasks and deadlines.
  • Assist with budget tracking, reimbursements, and purchasing for Next Gen ministries.
  • Young Adults Ministry
  • Support weekly gatherings, events, and small groups for Young Adults.
  • Assist with communication, including emails, social posts, reminders, registration pages, and follow-up.
  • Coordinate volunteer schedules and maintain rosters.
  • Help prepare materials, signage, room set-up, and hospitality needs.
  • Update attendance, engagement metrics, and new guest data in Rock RMS.
  • Pastoral Residency Program
  • Assist with onboarding new residents, schedules, training dates, and evaluations.
  • Coordinate communication between residents and supervisors.
  • Maintain residency resources, handbooks, and training materials.
  • Track resident progress, assignments, and required ministry hours.
  • Support Residency interviews, events, retreats, and end-of-year celebrations.
  • Ministry Training Institute (MTI)
  • Support the administrative needs of MTI classes, sessions, and cohorts.
  • Manage class registration, communication, and student follow-up.
  • Help prepare course materials, syllabi, packets, and digital resources.
  • Assist instructors with scheduling, room set-up, attendance tracking, and evaluations.
  • Maintain accurate records for students, class schedules, and completion milestones.
  • Communication & Coordination
  • Serve as a primary point of contact for young adults, residents, MTI students, and volunteers.
  • Respond to emails and inquiries in a timely and professional manner.
  • Coordinate cross-department needs with Operations, Production, Facilities, Communications, and Guest Services.
  • Support promotional efforts for young adult gatherings, residency recruitment, and MTI programs.
  • Events & Logistics
  • Assist with planning and executing events, retreats, special gatherings, resident trainings, and ministry nights.
  • Coordinate logistics such as food, supplies, room reservations, set-up/tear-down, registration lists, and check-in.
  • Maintain an organized inventory of ministry supplies and curriculum materials.
  • QUALIFICATIONS
  • 2+ years related experience in a ministry setting preferred.
  • Able to meet deadlines while managing multiple projects.
  • Strong communication and computer skills.
  • Must be a proactive self-starter, creative problem solver and team player.
  • Able to work collaboratively with other department teams to support the ministry of Southwest Church.
  • Understanding of confidentiality and proper care of personal information.
  • Knowledge of computer applications such as Word and/or Pages, Excel and/or Numbers, PowerPoint and/or Keynote, etc.
  • Physical requirements: Constant periods of sitting and repetitive motions. Occasionally able to lift or move up to 20lbs and standing or walking.
