- Reports to: Member Solutions Manager
Position Summary
- The Loan Clerk is responsible for providing administrative support to the Lending Department along with the Member Solutions Department ensuring accurate handling of loan documentation and compliance with regulatory requirements. This position involves processing titles, releasing titles, scanning and filing documents, mailing required notices, and monitoring paid-out loans to maintain accurate records.
Key Responsibilities
- * Process and track vehicle titles, ensuring proper documentation and timely delivery
- * Scan, index, and maintain electronic loan files for accuracy and accessibility
- * Monitor and work the paid-out report, ensuring proper release of liens and closure of accounts
- 1. Release titles to dealerships
- 2. Send stamped notes and congratulations letters to members
- 3. Send title via mail, if paper form
- 4. Release title from Big Easy when applicable
- 5. Scan the above-mentioned forms daily
- * Release of titles daily when receiving title release forms
- * Scan recorded mortgage and HELOC cancellations
- * Prepare and mail adverse action notices in compliance with applicable regulations
- * Open all insurance mail received and sort, auto and home insurance
- * Scan other miscellaneous forms into system as needed and when applicable
- * Assist loan officers and other team members with administrative tasks as needed
- * Communicate first payment defaults to lending team
- * Review and notate SWBC Early-Stage Collection Nightly and Promise to Pay Reports
- * Submit repossession, door knock, legal, and bankruptcy referrals through vendor portals
- * Process invoicing for repossession and outside collection activity
- * Prepare subsequent action forms and arrange for member signature
- * Ensure all tasks are completed in accordance with company policies, procedures, and regulatory guidelines
- * Perform additional duties, responsibilities, and special projects, as assigned, to adapt to the evolving needs of the departments and organization.

Job Specifications
- 1. High School diploma or equivalent; additional coursework in finance or business is an advantage.
- 2. Proficiency in data entry, and Microsoft Office applications.
- 3. Ability to accurately review and verify title documents. Strong attention to detail and organization.
- 4. Strong communication skills to assist members and co-workers.
- 5. Understanding of basic banking, lending, collection regulations and compliance requirements.
- 6. Work may require occasional lifting of boxes of 25lbs or less. This position also requires sitting, and occasional bending, squatting, twisting and reaching.
