Deliverables Outline: Phase 1 – Discovery & Assessment (Week 1–2) Goal: Establish a full understanding of current HR structure, staff, contracts, and compliance risks. Deliverables: • Conduct HR intake interviews with key staff and management. • Compile existing HR documents (contracts, NDAs, pay records, W-2/1099 listings, PTO policies, etc.). • Map all active team members and contractors by entity (HHCS, Summit, ThryveSphere). • Review and summarize compliance status for each company (MN, AZ, WY). • Identify risks or gaps related to employee classification, payroll, or documentation. • Present a summary report with findings and initial recommendations. Timeline: Completion by end of Week 2 ⸻ Phase 2 – Transition Planning & Strategy (Week 3–4) Goal: Develop the full HR transition roadmap, aligning staffing, systems, and contracts under the new structure. Deliverables: • Create a Turnover Plan outlining all staff/contractor transfers and reissued agreements. • Develop new or revised organizational charts for each entity. • Draft new HR SOPs for hiring, onboarding, timekeeping, and offboarding. • Outline state-specific HR compliance action items (MN licensing, AZ payroll, WY trust-level structure). • Submit a Transition Strategy Report including phased implementation steps. Timeline: Completion by end of Week 4 ⸻ Phase 3 – Implementation & System Alignment (Week 5–6) Goal: Execute the transition plan with document control, communication, and system integration. Deliverables: • Oversee contractor/staff transition communications and contract reissuance. • Coordinate updates to payroll, benefits, and compliance systems (HubSpot, Gusto, QuickBooks). • Review and confirm vendor and subcontractor documentation (COIs, W-9s, active agreements). • Support migration of HR records into centralized systems. • Prepare and deliver updated employee/contractor roster with compliance status. Timeline: Completion by end of Week 6 ⸻ Phase 4 – Reporting, Training & Handover (Week 7–8) Goal: Finalize documentation, knowledge transfer, and reporting for ongoing HR management. Deliverables: • Provide a final HR Transition Completion Report summarizing all actions taken. • Create a master folder with final signed agreements, compliance files, and templates. • Conduct live or recorded training session(s) for internal HR/management staff on new SOPs. • Deliver a Next Steps & Sustainability Plan to maintain compliance and staff continuity.
