Job description Job Title: Front Desk Administrative Assistant Position Overview The Front Desk Administrative Assistant serves as the first point of contact for visitors, clients, and team members. This role is responsible for delivering excellent customer service, managing front desk operations, and providing administrative support to ensure efficient office workflow. The ideal candidate is organized, professional, personable, and able to handle multiple tasks in a fast-paced environment. Key Responsibilities Front Desk & Customer Service Greet and assist visitors, clients, and staff in a friendly and professional manner. Answer, screen, and route incoming phone calls. Respond to inquiries via phone, email, and in person. Maintain a clean, organized, and welcoming reception area. Administrative Support Manage and distribute incoming and outgoing mail and packages. Maintain office calendars, schedule appointments, and coordinate meeting rooms. Assist with preparing documents, reports, memos, and presentations. Maintain office supplies inventory and place orders when necessary. Support various administrative tasks for management and staff. Office Coordination Assist with onboarding new employees (access badges, desk setup, schedules). Keep organizational records, files, and databases accurate and up to date. Coordinate service calls for office equipment and facilities issues. Help plan and organize office events, meetings, and team activities. Data Entry & Record Keeping Enter and update information into company systems with accuracy. Maintain logs, spreadsheets, and administrative records as required. Qualifications High school diploma or equivalent required; associate degree preferred. Prior experience in a front desk, receptionist, or administrative support role. Strong verbal and written communication skills. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and office equipment. Excellent organizational and time-management abilities. Professional demeanor with strong customer service skills. Ability to multitask and remain calm under pressure.
