ABOUT Heads Up Golf is a growing golf-accessories brand with two channels: B2B custom team orders and D2C e-commerce (Shopify). We use QuickBooks Online, work with a 3PL, and currently projected to do ~$500K/yr in revenue. We need reliable monthly financials and sales-tax compliance (starting with Texas). (Responsibilities) Monthly Close (own the 10-day close): Reconcile bank/credit cards + Shopify/Stripe/PayPal, record fees/discounts/refunds, post accruals (ad spend, software, freight), update AR/AP aging, and deliver P&L, Balance Sheet, Cash Flow. Sales Tax (Texas first): Confirm nexus, assist registration, configure collection in Shopify, set up TaxJar/Avalara (or similar), and prep filings. System & SOPs: Tune Chart of Accounts, mapping rules for Shopify to QBO, and a simple checklist we can run every month. Reporting for operators: Channel margins (B2B vs D2C) and a basic 13-week cash view. (Must-Have Experience) QuickBooks Online (advanced) with Shopify reconciliation (payouts, fees, refunds/chargebacks). Inventory/COGS in a product business with a 3PL. Monthly Close ownership and producing management-ready financials. US sales tax setup/filings (Texas preferred) and familiarity with TaxJar or Avalara. Clear documentation and SOP writing. (Tools We Use) Quickbooks, Mercury, Stripe (Success Looks Like) • First clean monthly close within 60 days. • All accounts reconciled monthly; Shopify gross sales tie to the GL with 1% variance. • Inventory/COGS method documented; roll-forward ties out. • Texas sales-tax collection live; first filing scheduled. • A simple, repeatable close checklist we can follow. HOW TO APPLY (required) Please include: 1. A brief note on your Shopify→QBO process (how you handle payouts, fees, refunds, sales tax). 2. Your monthly close checklist (8–12 bullets). 3. A short inventory/COGS approach you’ve used with a 3PL. 4. Your availability and hourly rate within $45–$75/hr. 5. (Optional) Two relevant client examples. Paid Trial (2–3 hours): We’ll provide one sample month (Shopify export + payout report + bank statement). Deliver a small reconciliation workbook + 1-page findings.
