Our team is lean and high-performing and we’re looking for a detail-oriented Executive Virtual Assistant to join us long-term. Role Overview: You’ll be responsible for keeping our internal operations running smoothly, managing onboarding, client payment tracking, inboxes, calendars, and content scheduling. You’ll work closely with the Founder and our Client Success Manager to ensure everything behind the scenes is organized, accurate, and on time. Key Responsibilities: Client & Operations - Onboard all new clients (create folders, prepare welcome docs, send onboarding emails) - Update Monday.com with client info, payments, and statuses - Track all client payments and invoices - Categorize transactions in QuickBooks Online weekly - Prepare simple reports for financial reviews Executive Support - Manage Founder’s email inbox (triage, organize, and flag items) - Maintain and coordinate the Founder’s calendar (calls, meetings, blocks) - Prepare agendas, call notes, and follow-up reminders Content & Marketing Support - Manage and maintain posting schedule across all platforms (Instagram, Facebook, YouTube, Twitter/X) - Coordinate with our media manager and editors to ensure content is uploaded on time - Track and record post performance weekly Team & Project Support - Keep Monday.com boards and tasks organized - Ensure all projects and tasks are properly documented and up to date - Support Heather (Client Success Manager) with backend organization and reporting Requirements - 2+ years of experience as an Executive Assistant or Operations VA - Strong English communication skills (written and verbal) - Excellent attention to detail and follow-through - Experience with: - QuickBooks Online (transaction categorization) - Google Workspace (Docs, Sheets, Drive) - Monday.com (or ClickUp/Asana) - Meta Business Suite or social scheduling tools - Slack, Canva (nice to have) - Proactive, organized, and able to manage multiple priorities - Reliable internet connection and consistent availability Position Details Type: Full-Time (40 hours per week) Schedule: Monday–Friday, standard business hours aligned with U.S. Mountain Time (Utah) Pay: $8–$12/hour depending on experience and skill set Start Date: Immediate Commitment: Long-term, with opportunities to grow into higher-level operations and leadership responsibilities as the company scales How to Apply Please include the following in your proposal: 1.
