I am the founder of a stealth-mode, deep-tech platform seeking a highly selective Executive Virtual Assistant (EVA) to serve as my operational co-pilot. This role requires designing, implementing, and maintaining the structural foundation of the company, focusing on execution and process reliability. You will be responsible for building the initial systems (CRM, HR, Communication) that allow the company to scale. This is a role for a disciplined professional who operates with extreme confidentiality and values structure over chaos. About the Company (Stealth Mode) We are developing an AI-enabled system focused on aviation safety. Our work is safety-critical and requires a high-trust, low-hype approach. About the Role This position is the operational hub for the founder. You must be comfortable with setting up systems from scratch and ensuring data integrity. Core Functional Areas (System Ownership) 1. CRM & Lead System Design (Pipeline Management): Design & Implement: Design and implement the primary lead tracking system (Google Sheets or Notion) for all investor, partner, and customer contacts. Ownership: Log all new leads, track their status, and ensure all follow-ups and scheduling are completed accurately and on time. 2. Founder Presence Execution (Structured Communication): Presence Management: Execute a structured, low-profile social presence on LinkedIn, focusing on consistency (1-2 posts weekly) and maintaining a calm, thoughtful, and precise tone. Engagement Tracking: Implement a light manual tracking system to analyze which posts elicit meaningful engagement, helping the founder refine strategic topics without resorting to "growth hack" tactics. Inbox Administration: Manage the founder's LinkedIn inbox, handling initial screening and communication using provided templates. 3. HR & Hiring Pipeline Implementation: System Setup: Establish the organized process and structure for managing the candidate pipeline for the first core technical hire (e.g., a programmer). Screening & Scheduling: Post job descriptions, screen resumes for basic fit, collect portfolios, and manage the scheduling for first-round interviews. 4. Core Administrative & Operational Support: Document Architecture: Design and maintain the file architecture (Google Drive/Notion) for all strategy documents, pitch materials, and internal notes. Content Preparation: Convert the founder's rough text, strategy notes, and meeting transcripts into structured documents, clear summaries, and presentations. Required Skills (The Filters) Excellent written English and professional communication. Very strong organization and attention to detail. Must thrive on imposing structure on chaos. System Design Aptitude: Experience in setting up organizational systems (CRM tracking sheets, file architecture, process documentation) in tools like Notion or Google Workspace. AI Proficiency: Skillful using AI tools (ChatGPT/Claude) to accelerate research, organization, and document preparation—I do not provide prompts, templates, or training. Experience supporting founders, executives, or project leads, particularly in a confidentiality-heavy environment. This role is for someone who enjoys: Structure over chaos, Execution over strategy, and Clarity over creativity. Tools You Will Use Google Workspace (Docs, Sheets, Drive) Notion (or similar wiki/database tool) ChatGPT / Claude Basic CRM / spreadsheets Light CMS editing (Framer/Webflow/similar) Work Schedule & Commitment Commitment: ~16 hours per week. Duration: Long-term, stable engagement preferred. Schedule: Mostly asynchronous work, with availability across different parts of the day for scheduling U.S.-based contacts.
