Assists senior executives in monitoring and managing the day-to-day operation and coordination of activities and services. Ensures effective liaison, appropriate confidentiality, and coordination with all academic and non-academic departments on matters relating to administration, management, operations, and strategic planning. Represents the senior executives and provides leadership and direction to the business and administrative team and for special projects that may have an operational or organizational impact. Provides direction and insight in the development of policy, organizational and financial analyses.

Essential Functions
  • Manages the schedules of senior executives and ensures their preparation for high-level meetings and events.
  • Coordinates and manages administrative functions for senior executives.
  • Consults, advises, and may provide leadership on behalf of senior executives for programs and/or initiatives as assigned.
  • Prepares executive summaries, documents, and correspondence.
  • Drafts and collects pertinent budgetary planning and implementation data for the Chief Officer.
  • Responds to inquiries about problems, issues, program status, or activities and provides reports.
  • Participates in the planning of administrative and staff development meetings.
  • Monitors and implements procedures for the distribution and use of funds allocated to implement the area management plan for the Chief Officer.
  • Coordinates and provides technical and logistical support for staffing staff transfers.
  • Reviews grievances and complaints and assists in conducting administrative assessments.
  • Provides advice and assistance in the daily management oversight for the division.
  • Responds to information requests from City Schools' central office departments, schools, and the public on matters related to senior executives' areas of responsibility.
  • Monitors the status/action of CEO cabinet delegated assignments and/or tasks.
  • Develops and oversees the maintenance of administrative manuals, guides, and filing systems for senior executives.
  • Reviews management policies and procedures and prepares reports and memoranda documents applicable to academic and non-academic services and programs.
  • Assists with planning, organizing and directing policy and organizational analyses on issues and concerns which may impact City Schools' operations.
  • Assists in the development and implementation of the annual master plan and strategic program initiatives.
  • Represents senior executives in various high-level meetings and conferences (as required). Meets with and may address a variety of groups, including employees, school administrators, public and private agencies, and community agencies on behalf of senior executives.
  • Coordinates involvement in community activities, including advisory councils, planning committees.
  • Meets with and may address a variety of groups, including employees, school administrators, public and private agencies, and community organizations on behalf of senior directors.
  • Utilizes resources appropriately to complete work in the most efficient manner; proactively communicates the status of work; participates and contributes fully as a team member; and exercises sound judgment and decision-making skills to resolve sensitive matters.
  • Maintains confidential and sensitive information.
  • Performs and promotes all activities in compliance with equal employment and non-discrimination policies; follows federal laws, state laws, school board policies, administrative regulations, and professional standards.

  • Unless expressly stated otherwise with respect to the qualifications indicated in the position description, City Schools reserves the right to consider other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position.
  • Bachelor's degree in education, business, management, public administration or related field. Degree must be from an accredited college or institution.
  • Three years of administration experience in education or related field.
  • Three years of professional experience working with senior-level executives and engaging with high-level stakeholders.
  • Three years project management experience with successful, timely deliverables and positive outcomes.
  • Exceptional verbal and written communication skills including the ability to make effective presentations to diverse audiences and convey complicated information with tact and diplomacy.
  • Interpersonal skills that ensure effective team building and commitment to collaborative work.
  • Ability to work efficiently and effectively in a large organization and fast-paced environment.
  • Strong organizational and project management skills.
  • Proficient skill in the use of technical computer applications, including electronic databases, and Microsoft Office, including Excel and Power Point.
  • Ability to exercise independent judgment, work quickly to analyze problems and recommend workable solutions including the planning and implementation of those solutions.
  • Skill in research, presenting, and explaining policies and procedures, assembling data, preparing complex reports, and formulating and presenting recommendations with all levels of management to facilitate change, implement strategy, and accomplish objectives.
  • Ability to develop and maintain strong working relationships with school system employees and managers at all levels, as well as government agencies and community stakeholders.
  • Ability to multi-task, prioritize changing assignments, and organize busy workload, meet deadlines, and work well under pressure, while exercising excellent attention to detail.

In accordance with Maryland law, City School is required to share the position salary ranges in its entirety. Please note, this is not the hiring range. The hiring range for this position is ($85,401 - $109,084).
