We’re scaling fast, juggling multiple branding, web development, and content projects — and now we’re looking for a sharp, reliable Executive Assistant to keep our operations smooth and our founder focused. Position Overview The Executive Assistant will work directly with the Owner/Creative Director to manage daily operations, streamline communication, coordinate projects and hires, and help keep multiple client workflows running efficiently. This is a core role — the right person becomes the glue that holds our internal and external operations together. Key Responsibilities 1. Administrative & Operational Support --Manage the CEO’s calendar, schedule, appointments, and daily agenda. --Sort, organize, and respond to emails with professionalism and clarity. --Coordinate meetings, prepare agendas, and track action items. 2. Project Coordination --Help manage client projects, deadlines, and deliverables using our project management tools. --Assign tasks to team members (Project Manager, Designer, Developers) and follow up to ensure completion. --Maintain organized files, documentation, SOPs, and agency templates. 3. Hiring & Vendor Coordination --Assist with hiring freelancers, subcontractors, and specialized vendors. --Post job listings, manage applications, schedule interviews, and communicate expectations. --Serve as the point-of-contact for onboarded freelancers. 4. Creative & Marketing Support --Update WordPress pages using simple builders (no advanced dev work required). --Create light, clean designs in Canva (social posts, slides, proposals). --Assist with client-facing proposals, reports, and presentations. 5. General Agency Support --Support the flow of branding, web, and marketing tasks across multiple clients. --Ensure systems, processes, and documents stay organized and updated. --Protect the CEO’s time by filtering requests and solving problems proactively. Qualifications --Previous experience as an Executive Assistant, Project Coordinator, Admin Assistant, or similar role. --Strong written communication (email tone and clarity matter here). --Project management experience — familiarity with tools like ClickUp, Asana, Notion, or Trello. --Comfortable using WordPress, Canva, Google Workspace, Slack, and modern productivity tools. --A proactive mindset — someone who anticipates needs and solves problems before they escalate. --Strong attention to detail, time management, and follow-through. --Able to work independently while staying aligned with team goals. Bonus Points --Experience in creative agencies, marketing firms, or branding environments. --Light familiarity with social media scheduling tools and content workflows. --Interest in storytelling, design, or digital media. --Comfort working in a startup-like environment where each day evolves. Compensation --Full-Time (40 hours/week) --Monday–Friday, 8 AM–4 PM CST- --Competitive hourly pay or monthly salary depending on experience
