**Executive Assistant (Remote – International Candidate)** **Company:** Candor Realty & Granite and Pine Properties **Location:** Fully Remote – Based Outside the U.S. **Job Type:** Part-Time Contractor (1099 or International Equivalent) **Hours:** 20–40 hours/week (Flexible M–F U.S. Eastern Time) **Compensation:** Based on experience --- ## **About the Role** We are hiring a reliable, detail-oriented, and tech-savvy **Remote Executive Assistant** to support the owner of two fast-growing real estate companies: **Candor Realty** and **Granite & Pine Properties**. This role is for a **seasoned assistant with experience supporting C-suite leadership**, ideally with **real estate or transaction coordination exposure**. As the Executive Assistant, you’ll balance support for two separate companies with their own workflows and goals. You’ll help develop SOPs and systems, coordinate projects and communication, and serve as a **confident extension of the owner**. You’ll also be encouraged and empowered to offer suggestions to improve operations, workflows, and outcomes. The role is fully virtual, designed for a skilled overseas assistant who can thrive without in-person supervision. --- ## **Key Responsibilities** ### **Executive Administration** * Manage calendar, inbox, scheduling, reporting, and daily/weekly follow-up tasks * Provide morning and evening summaries via Slack or email * Track and update the owner’s tasks in shared tools (Google Tasks, ClickUp, Asana) * Coordinate and confirm appointments, calls, and meetings * Help prepare agendas, presentation decks, and reports as needed * Act as a liaison between the owner and key internal/external stakeholders to ensure strong, professional communication and timely follow-ups ### **Recruiting Coordination** * Assist in posting job ads and managing recruitment funnels * Schedule interviews and coordinate follow-up communication * Support onboarding logistics (accounts, access, intro messages – no training) ### **PR, Marketing, and Outreach** * Assist with public relations and community outreach * Coordinate with college programs, clubs, or local organizations for brand visibility * Help manage media and marketing contact lists * Provide light support on content creation or design using Canva or similar tools when needed ### **System Management** * Maintain company task and communication systems (Asana, Slack, Google Drive) * Ensure consistent updates and documentation across both companies * Help standardize and document workflows through SOP creation ### **Administrative & Operational Support** * Audit performance and project tracking for overseas/VA team * Coordinate document storage, filing systems, and backups * Support invoice and receipt collection and digital organization * Track office supply orders, subscriptions, and contract renewals * Use tools like Zapier, Canva, and editing software as needed for team operations ### **Lead Management & CRM Support** * Pull and format property/owner lead lists monthly from various platforms * Upload leads to CRM (RESimpli, etc.) and export for tracking * Coordinate mail and cold call campaigns from these lists * Maintain accuracy of lead data across systems * Use CRMs confidently and navigate list creation and updates ### **Transaction & Vendor Coordination** * Communicate with vendors for quotes, scheduling, and job tracking * Light listing prep and transaction coordination (paperwork, timelines, contacts) * Track transaction progress and update shared dashboards * Maintain contact lists and vendor databases * Support personal real estate listing input, marketing coordination, and transaction tracking when needed ### **Digital Communication & Tools** * Clear and confident written English required * Platforms used: Gmail, Slack, Zoom, RESimpli, Canva, Zapier, Google Suite, ClickUp --- ## **What We’re Looking For** ### **Required:** * 2+ years supporting **C-level executives** remotely * Real estate support or transaction coordination experience * Strong written English and communication skills * Comfortable in tech-based roles with multiple platforms and tools * Self-driven, organized, and strong at follow-through * Experience managing support for **multiple business entities** ### **Preferred:** * Past support for U.S.-based real estate teams * Familiar with RESimpli or similar CRMs * Familiar with Canva, Zapier, and automations --- ## **Compensation & Availability** * **Type:** Contractor (International/1099 Equivalent) * **Hours:** 20–40/week, Monday to Friday (U.S. EST overlap required) * **Pay:** Based on experience --- ## **Perks & Support** * Long-term opportunity with structured workflow and flexibility * Paid support for real estate or notary licensing (if desired) * Encouraged to propose system improvements and own SOPs * Collaboration with a mission-driven leadership team --- ## **To Apply** Please send: 1.
