We are seeking an Executive Assistant to support our founder, manage outbound relationship workflows, and help us stay close to the most influential people in commercial real estate and architecture.
This role is part executive assistant, part outreach coordinator, and part podcast management. You’ll follow proven systems to manage lead lists, personalize outbound messages, coordinate podcast guests, and schedule high-leverage calls—without ever needing to close a deal.
You will work directly with co-founder and partner, Rens Hayes. Your job is to create leverage by executing consistently, communicating clearly, and helping us grow through relationships—not cold sales.
Responsibilities include, but are not limited to the following:
- Manage segmented HubSpot lead lists and personalize outreach based on client research. Conduct personalized
- , LinkedIn, and phone outreach to new prospects.
- Execute personalized corporate gifting for key clients and partners.
- Lead Design Development podcast guest outreach, prep calls, and scheduling. Own the podcast
- list and guest database.
- Collaborate with the H+O team and fractional consultants as required.
The ideal candidate will have the following attributes:
- Highly organized, proactive and detail-oriented.
- Excellent verbal and written communication skills.
- Outgoing, comfortable striking up conversations.
- Enjoys supporting others and creating structure behind the scenes.
- Curious and coachable, with a bias for action.
- Not afraid to work with AI.
Details, Compensation and Benefits:
- Full-time preferred. Minimum 25 hours/week for part-time applicants.
- Remote role with preference for candidates in Greater Boston.
- Compensation range: $60,000-$72,000 per year for full-time applicants, commensurate with competencies and experience – compensation range is influenced by company performance, with the higher end of the range being tied to our overall company performance.
- Part-time employment compensation pending experience and competencies.
- A transparent bonus program aligned with company performance, paid out quarterly with an opportunity to earn up to 10% of the annual base salary.
