About this Role

  • As the Executive Assistant, you will play a critical role in supporting the CEO, CFO, and Head of Commercial Markets. You will manage schedules, coordinate communications, prepare key documents, and serve as a trusted partner in ensuring these leaders can focus on driving business priorities. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities with professionalism and efficiency.

Key Responsibilities

  • Executive Support
  • Provide high-level administrative support to the CEO, CFO, and Head of Commercial Markets.
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements (domestic and international).
  • Anticipate executives’ needs and proactively address scheduling or logistical challenges.
  • Serve as the first point of contact for executive communications, ensuring timely responses and follow-ups.
  • Meeting & Event Coordination
  • Prepare agendas, presentations, reports, and briefing materials for internal and external meetings.
  • Coordinate logistics for leadership team meetings, board meetings, and client-facing events.
  • Record, track, and distribute meeting minutes and action items.
  • Communication & Liaison
  • Act as a liaison between executives and internal/external stakeholders.
  • Draft and proofread correspondence, presentations, and reports on behalf of executives.
  • Handle sensitive and confidential information with the utmost discretion.
  • Coordinate monthly e-newsletter sent to current and prospective clients.
  • Facilitate the presentation of the company’s monthly Town Hall presentations and manager meetings, in collaboration with HR.
  • Project & Task Management
  • Assist with project tracking, deadlines, and deliverables to support leadership priorities.
  • Coordinate cross-functional activities to ensure alignment and follow-through.
  • Support expense reporting, budget tracking, and vendor coordination as needed.
  • Administrative Excellence
  • Maintain filing systems, databases, and records with accuracy and confidentiality.
  • Ensure executives are prepared and equipped for daily activities, meetings, and travel.
  • Oversee the organization’s hardware inventory to ensure accurate record-keeping of technology assets.

Required Skills and Experience

  • Bachelor’s degree or equivalent professional experience.
  • 5+ years of experience as an Executive Assistant or in a senior administrative support role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, etc.).
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Proven ability to manage confidential information with discretion and integrity.
  • Exceptional communication skills, both written and verbal.
  • Ability to work virtually, independently while anticipating needs, and adapting to changing priorities.
