JOB SUMMARY

  • Provide high-level administrative support by conducting research, preparing reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, arranging meetings and calls, manages complex schedules, and serving as a primary liaison between executive leadership and internal and external stakeholders.

UNIQUE JOB REQUIREMENTS

  • Must be able to maintain knowledge of, and ensure compliance with all applicable Title 16, Minimum Internal Control Standards, State Gaming Regulations, and other City/State/Federal laws/regulations.
  • Must maintain knowledge of and ensure compliance with Casino M8trix operating policies / procedures / practices, and internal control protocols.
  • Must be familiar with all aspects of casino operations, have administrative skills and knowledge of various administrative support hardware and software programs.

JOB TASKS

  • Manage complex calendars for both the President and Vice Presidents, including coordinating internal and external meetings, conferences, and events; proactively resolve scheduling conflicts and prioritize meetings aligned with strategic goals.
  • Review and interpret incoming correspondence and documents; summarize key information and provide clear, actionable updates to support decision-making and efficient follow-up.
  • Serve as a professional and reliable representative of the executives in all internal and external communications.
  • Handle highly sensitive and confidential information with discretion.
  • Schedule, coordinate and complete all administrative work as assigned to ensure efficient and effective administrative support.
  • Support projects by coordinating timelines, drafting communications, and tracking progress.
  • Organize and maintain digital and physical filing systems; ensure accurate record keeping and easy document retrieval.
  • Attend onsite and offsite meetings as required, record minutes, and later type and distribute meeting minutes and any follow-up material.
  • Organize, prioritize, and complete all assigned tasks and projects with minimal supervision.
  • Communicate with all departments as well as external partners, in a courteous and professional manner.
  • Prepare documents and reports related to operational matters as directed. Takes steps necessary to ensure material is prepared and distributed in a timely and accurate manner.
  • Prepare and assemble documents and supporting materials for review, ensuring accuracy, completeness, and adherence to confidentiality protocols.
  • Coordinate with departments (e.g., Gaming, IT, Facilities) to resolve administrative issues
  • Respond to inquiries promptly and in accordance with Executive priorities.
  • Prepare agendas, materials, and briefing documents for meetings and presentations.
  • Answer incoming calls, routes calls to the appropriate departments and places outgoing calls.
  • Process expense reports and reimbursements in a timely and accurate manner.
  • Arrange domestic and international travel for executives, including flights, accommodations, itineraries, and on-the-ground transportation.
  • Support office through occasional errands, including driving to collect supplies or time sensitive materials, as needed.
  • Receive, sort and distribute incoming mail, faxes and other communications.
  • Schedule and coordinate appointments.
  • Greet visitors, ascertain nature of business, and escort or directs visitors to the appropriate department.
  • Provide reception duties by greeting guests and employees both in person and on the telephone and directing them to the appropriate department.
  • Monitor and replenish office supplies.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Associate degree or equivalent experience in administrative and executive support assistance.
  • TRAINING AND EXPERIENCE
  • Two or more years of related experience providing high level administrative support.
  • Demonstrated a proven track record of effectively managing and safeguarding highly confidential and sensitive information.
  • Experience compiling and managing complex documents, especially for legal hearings, court filings, or regulatory submissions.
  • KNOWLEDGE/SKILLS/ABILITIES
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Power Point, Outlook, etc.) and other administrative software’s.
  • Proficient written and verbal communication skills.
  • Ability to solve problems and deal with a variety of situations.
  • Ability to interpret a variety of instructions furnished in writing, verbally, or other means of communication.
  • Strong organizational and time management skills with the ability to prioritize and multitask.
  • Excellent attention to detail and accuracy in document preparation and scheduling.
  • Quick learner with strong technical aptitude; able to efficiently adopt and utilize new systems and tools with minimal guidance.
  • REQUIREMENTS
  • Must enter into a Non-Disclosure Agreement (NDA) and a Mutual Arbitration Agreement as a condition of employment.
  • PHYSICAL REQUIREMENTS
  • Regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Must be able to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. Must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Regularly exposed to risks associated with travel due to business demands. Occasionally exposed to fumes or airborne particles.
