Description: We are a high-volume e-commerce brand (8-figure annual sales) selling through Shopify (DTC) and Amazon FBA (U.S.). We are seeking a certified accountant with strong e-commerce bookkeeping experience to: 1. Set up and reconcile our financial systems (QuickBooks Online Advanced, A2X, LedgerDocs). 2. Clean up two years of historical records. 3. Transition into our ongoing monthly bookkeeping partner. This is a long-term, consistent role, not a one-time project. ⸻ Phase 1: Setup & Cleanup (Project) • Configure QuickBooks Online Advanced for multi-channel e-commerce. • Implement A2X integrations for Shopify + Amazon (payout-based reconciliation). • Build a clean Chart of Accounts (sales, refunds, fees, shipping, gift cards, liabilities, COGS). • Design LedgerDocs/Dext folder system and categorization buckets for contracts and supplier invoices (our China-based team will handle uploading). • Import and reconcile 2024 + YTD 2025 payouts and expenses. • Apply periodic inventory adjustments for accurate COGS. • Reconcile all bank and credit card accounts. • Prepare financial schedules and withholding support reports for our U.S. tax advisors. ⸻ Phase 2: Ongoing Bookkeeping (Consistent Monthly Role) • Post and review A2X Shopify/Amazon entries each payout. • Reconcile clearing accounts, banks, and credit cards. • Maintain LedgerDocs system design: ensure proper folders, categories, and mappings are kept clean. • Categorize recurring expenses (ads, 3PL, shipping, contractors, SaaS). • Post monthly/quarterly COGS adjustments using periodic inventory. • Produce monthly reporting package (P&L, Balance Sheet, Gross Margin, Channel Analysis). • Deliver schedules and reconciliations needed by our external accountants for U.S. filings. ⸻ Requirements • Certified Accountant: CPA, CA, ACCA, or equivalent (U.S. GAAP/IRS knowledge required). • Proven experience with QuickBooks Online Advanced. • Hands-on setup of A2X with Shopify + Amazon. • Strong knowledge of LedgerDocs/Dext/Hubdoc for document organization (system setup, not data entry). • Ability to manage periodic inventory accounting. • Familiarity with withholding rules for foreign-owned U.S. partnerships. • Experience reconciling high-volume e-commerce transactions (7–8 figure scale). • Must provide examples of past work with e-commerce clients. ⸻ Deliverables • Fully configured QuickBooks + A2X + LedgerDocs stack. • Clean, reconciled books for 2024 & YTD 2025. • Functional LedgerDocs folder/bucket structure for contract uploads. • Monthly reconciled financials going forward. • Reports and schedules prepared for external CPA review.
