  • Description
  • Purpose and Scope
  • To support the Diocese of Phoenix in its mission to Encounter the Living Christ, this position provides focused administrative and organizational support for the Diocesan Pastoral plan Tilma initiatives. This role requires basic familiarity with the Catholic Church, its structure, ministries, and vision, and who can interact with clergy, religious, and lay faithful with warmth, respect, and professionalism. The position supports the multi-year Diocesan pastoral plan and additional initiatives of the bishop.

  • Administrative & Office Support
  • Provide comprehensive administrative assistance, including managing correspondence, scheduling, and calendaring in support of Diocesan Pastoral plan initiatives as directed by supervisor.
  • Maintain and organize both digital and physical filing systems that reflect transparency and accessibility.
  • Answer phones and greet visitors with a positive and welcoming presence, embodying the spirit of hospitality central to synodality.
  • Prepare agendas and take accurate minutes for meetings, ensuring timely distribution to foster shared understanding and discernment.
  • Ordering and maintaining office supplies.
  • Processing receipts and expense reports.
  • Document & Form Development
  • Design, draft, and edit forms, surveys, and questionnaires to gather input from parishes, clergy, lay groups, and other stakeholders, supporting the Diocese’s Diocesan Pastoral plan platform and related engagement initiatives.
  • Support data collection and tracking for diocesan planning processes related to Diocesan Pastoral plan initiatives.
  • Event & Program Support
  • Assist in the coordination of Diocesan Pastoral plan related events, including diocesan synodal gatherings, listening sessions, workshops, Diocesan Pastoral Council and planning meetings, ensuring alignment with the bishop’s vision for the Diocesan pastoral plan.
  • Help manage logistics for events, including communication, scheduling, and follow-up tasks.
  • Manage travel arrangements as needed.
  • Communications & Outreach
  • Support communication initiatives related to the Diocese’s pastoral plan, ensuring alignment with the emphasis on synodality articulated by Pope Francis, Pope Leo, and Bishop Dolan, including the use of TILMA as a tool for spiritual and pastoral accompaniment.
  • Assist with outreach to parishes, lay movements, and other diocesan stakeholders to foster communion and co-responsibility for TILMA.
  • Liaison with Diocesan Communication Department, providing information as requested.
  • Project & Process Management
  • Monitor timelines and track implementation steps for TILMA and related projects.
  • Requirements
  • Minimum Qualifications
  • Bilingual: Fluent in English and Spanish, with strong verbal and written communication skills in both languages.
  • Church Knowledge: familiarity with Catholic Church structure, ministries, and liturgical life; knowledge of synodal documents, Church planning processes, and Bishop Dolan’s Diocesan pastoral plan.
  • Technical Skills: proficiency in Microsoft Office Suite, Google Workspace, and form/survey platforms such as JotForm, Microsoft Forms, Google Forms, or SurveyMonkey.
  • Professional Demeanor: warm, approachable, and professional presence both in person and telephonically.
  • Interpersonal Skills: ability to work effectively with a wide variety of people, including clergy, lay men and women, and religious.
  • Organizational Skills: strong attention to detail, ability to manage multiple priorities, and commitment to meeting deadlines.
  • Mission Alignment: strong appreciation for the bishop’s vision for synodality as expressed through TILMA.
  • Work Environment
  • This job operates in a professional work environment and routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets and fax machines.
  • This position’s working hours includes evenings and weekends.
  • Physical Demands
  • This is largely a sedentary role; however, there may be occasions where filing or stuffing envelopes is required. It may, on rare occasions, require the ability to lift files, open filing cabinets and bend or stand, as necessary.
