  • Description
  • The Compliance Supervisor supports the Compliance Department in ensuring organizational adherence to federal, state, and local regulatory requirements, including DHCS, CARF, and county contracts. This position provides direct supervision and guidance to compliance support staff and oversees all areas of compliance monitoring, staff credentialing and training, personnel file and records management audits, electronic health record (EHR) training and support, and agency safety initiatives. The Compliance Supervisor plays a key role in promoting a culture of accountability, safety, and continuous quality improvement across all Janus programs.
  • Essential Duties and Responsibilities
  • · Supervision & Leadership
  • o Supervise and provide daily oversight to compliance team members responsible for staff credentialing, training documentation, records management, file audits, incident reporting and safety compliance.
  • o Ensure staff adhere to agency policies, ethical standards, and confidentiality requirements.
  • · Staff Training Oversight
  • o Oversee the staff training tracking system (LMS) to ensure compliance with federal, state, and contract-mandated training requirements.
  • o Coordinate with PAC, Program Directors, and the Compliance team to ensure timely onboarding and ongoing training completion.
  • o Develop and update training materials and an annual training plan in collaboration with the Director of Compliance and Quality Assurance team.
  • · Personnel File and Records Management Compliance
  • o Oversee internal auditing of employee and contractor personnel files to ensure compliance with DHCS, CARF, and county contract standards. Including staff credentialing timeliness support.
  • o Supervise the agency’s records management program, including document retention, storage, archiving, and secure destruction in accordance with federal, state, and local regulations.
  • o Ensure that confidential records—both physical and electronic—are maintained and protected in compliance with HIPAA and agency policies.
  • o Collaborate with QA team on file and record audits, implement corrective action plans when deficiencies are identified, and support onboarding documentation review.
  • · EHR Super User & Training Support
  • o Serve as the EHR Super User, supporting staff training, troubleshooting, and coordination of system updates.
  • o Provide onboarding EHR support and refresher sessions for clinical and administrative staff if requested.
  • o Collaborate with program leadership and IT to ensure system workflows align with compliance, documentation, and billing requirements.
  • · Safety and Risk Management
  • o Chair or co-chair the Safety Committee, ensuring quarterly meetings, facility safety inspections, fire drills, and reporting of safety incidents.
  • o Coordinate with site supervisors to address environmental safety concerns and track completion of corrective actions.
  • o Support agency-wide emergency preparedness and OSHA compliance efforts.
  • · Compliance and Audit Readiness
  • o Assist with internal and external audits (DHCS, CARF, county, payors) by preparing documentation, reports, and evidence of compliance.
  • o Maintain current knowledge of applicable laws, regulations, and accreditation standards.
  • o Support ongoing quality improvement projects and data collection as assigned.
  • Education: Bachelor’s degree in Public Administration, Behavioral Health, Compliance, or related field preferred. Equivalent experience may be considered.
  • Experience: Minimum of 3 years in compliance, quality assurance, or healthcare administration, including at least 1 year of supervisory experience.
  • Skills & Abilities: • Strong organizational, communication, and leadership skills. • Knowledge of DHCS, CARF, HIPAA, Medi-Cal, and records management standards. • Proficiency with EHR systems (e.g., MyAvatar, MyEvolve, MyAm) and Microsoft Office Suite. • Ability to manage multiple priorities and deadlines in a fast-paced environment. • Demonstrated ability to lead teams and promote a culture of compliance and accountability.
  • Work Environment
  • This position is primarily office-based with occasional travel to Janus sites for training, inspections, and audits. May require participation in after-hours meetings or emergency preparedness activities as needed.
