Definition

  • This position functions as the back-up Receptionist for the Napa office, providing reception coverage for all breaks and meal periods, in addition to when the main Receptionist is out of the office for any reason (i.e. sick, vacation, leave of absence, etc.). You will serve as the main contact for Spanish-speaking phone calls and in-person client reception at the NBRC Napa Front Desk. When not providing Reception duties, the Client Services Assistant will provide full office support to Case Management.

Nature of Work

  • Under the direction of the Administrative Office Supervisor, the Client Services Assistant will provide full back-up reception coverage for the main Receptionist at the Napa office for all breaks and meal periods, as well as any full or partial day absences. This position will also act as the primary contact for all in-person Spanish speakers when they arrive at the Napa office as well as direct all Spanish-speaking callers appropriately. While not providing Reception duties, this position will “float” to cover other Case Management Client Services Assistant (CSA) positions for full and/or partial day absences and/or work overflow. As a Case Management CSA, this position will: provide full office support, establish and maintain tracking systems; complete forms and documentation; request information and respond to requests for information; schedule appointments and meetings as needed; word process documents; enter data into computers; assist clients, families and service providers by telephone or in-person.

Examples of Work

  • As directed by his or her supervisor: when the main Receptionist is unavailable, manages all phone calls, greets all visitors, and manages receipt of deliveries for the NBRC Napa office. Provides basic customer service to Spanish-speaking clients and families via phone and/or in-person. When providing coverage while another Case Management CSA is out of the office, enters Client Development Evaluation Reports (CDER) into a database; processes purchase of service documents; provides assistance to the "Officer of the Day"; maintains tracking systems; completes tasks related to state and federal requirements, such as Home and Community Based Waiver and Targeted Case Management; completes case transfer tasks, consents, purchase of service and assembling the chart; completes disposition forms; requests and tracks client database information; obtains signatures on forms as needed; sends informational packets upon request; May be assigned to specific professionals, variety of typing/data input, filing, copying, FAX and mail duties.

  • Minimum Education/Experience
  • Equivalent or graduation from high school
  • Three years of administrative/clerical experience in a work environment
  • OR
  • Graduation from business school or other two-year post high school program and two years of administrative experience. Proficient in Microsoft 365 (Word, Outlook, Excel) and have the ability to type 50 WPM
  • Special Requirements
  • Fluency in a language in addition to English is desirable and may be required. Bilingual: English/Spanish required
  • Ability to provide personal automobile transportation during working hours and for after-hours emergencies or access to another form of reliable transportation which meets these minimum requirements. This position will be primarily based in the office in the reception area.

  • For those speaking, reading and writing other than English – $200 per month
  • For those speaking a language other than English – $175 per month

  • $47,268 – $52,104 with opportunities for 5% increases annually
