  • Description
  • The Calendar Coordinator will be responsible for accurate tracking and inputting of all court-ordered and internal deadlines such as conferences, hearings, depositions, trial dates, and internal team schedules in all active cases. This position ensures compliance with procedural rules. The Calendar Coordinator supports attorneys by proactively managing critical dates across multiple matters.
  • Duties and Responsibilities
  • Enter, track, and manage all court and litigation-related deadlines, motions, discovery responses, hearings, depositions, mediations, trials, etc. per jurisdiction specific rules
  • Confirm and calendar all incoming court notices and attorney instructions promptly
  • Set multi-tier reminders (e.g., two weeks, one week, two days) to ensure awareness far ahead of deadline dates
  • Set up remote appearances at court hearings and other proceedings including web links
  • Prepare and distribute case calendar reports to case team.
  • Create and update case information in the firm’s docket system (LawToolBox) which will transition to Milana
  • Confirm and manually calculate filing deadlines pursuant to local, state and federal rules
  • Inform all parties of any changes to the court schedule promptly
  • Perform quality control, cross-check entries, identify conflicts or omissions, and escalate issues to attorneys as needed
  • Maintain an audit-ready record of calendar entries, correspondence, confirmations, and changes using system logs or spreadsheets
  • Attend calendar meetings.
  • Perform other duties as assigned.
  • Qualifications & Skills
  • High school diploma or equivalent; associate degree or higher in a related field preferred
  • 3+ years’ paralegal experience in litigation is preferred. Extensive understanding of litigation calendaring rules for local, state and federal court. Strong written and verbal communication skills to coordinate with internal personnel; professional and responsive
  • Familiarity with online databases and resources.
  • Proficiency in Outlook and MS Excel; experience with practice-management software a plus
  • Experience with Law ToolBox, Milana, or other calendaring systems a plus
  • Familiarity with EFile Texas and CM/ECF a plus.
  • Extremely accurate in capturing and tracking dates
  • Capable of juggling multiple matters, priorities and reminders while staying calm under deadline pressure

  • 8:30am - 5:30pm Monday-Friday. Occasional weekends and holidays.
  • Hourly Rate
  • $24-$40 per hour
  • Physical Requirements
  • Primarily sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodation.
