Fractional Controller / Bookkeeper (MSP Experience Required) We are a growing Managed Service Provider (MSP) looking for an experienced Controller / Bookkeeper to own our financial operations end-to-end. This is not a basic bookkeeping role. We need someone who understands MSP billing, PSA systems, and recurring revenue models, and can operate independently with minimal oversight. If you’ve worked with an MSP or IT support company before, you already understand why this role matters. What You Will Own You will be responsible for full financial ownership, including: Bookkeeping & Financials Own QuickBooks Online as system of record Monthly close (accurate and on time) Bank and credit card reconciliations Clean, MSP-optimized chart of accounts Prepare monthly: P&L Balance Sheet Cash Flow Proactively flag anomalies or inconsistencies PSA ↔ Accounting Reconciliation (Critical) Ensure billing accuracy between: ConnectWise Manage Halo PSA QuickBooks Online Validate: Agreement billing User/device counts Recurring invoices Project billing Identify and correct: Missed charges Duplicate charges Sync errors Revenue leakage Maintain clean MRR / ARR visibility Accounts Receivable (AR) Oversee invoicing accuracy and delivery Monitor AR aging regularly Handle collections follow-ups Maintain strong cash flow with minimal escalation Accounts Payable (AP) Process vendor bills accurately Match bills against contracts and usage Flag pricing creep, redundant tools, or unused services Support margin protection and cost control Executive Support Answer clearly: “Are we billing correctly?” “Where is margin leaking?” “Are the numbers reliable?” Provide clean data for CPA, taxes, and reporting Support budgeting and forecasting as needed Required Experience (Non-Negotiable) Please do not apply unless you meet the following: Prior experience working with a Managed Service Provider (MSP) or IT support company Strong QuickBooks Online experience Hands-on experience with ConnectWise Manage Experience with Halo PSA (or PSA migration/reconciliation experience) Understanding of: MSP agreements Recurring billing (per user / per device) Projects vs managed services revenue Ability to work independently and own outcomes Excellent attention to detail and proactive communication Nice to Have ConnectBooster experience MSP margin or client profitability analysis SaaS or subscription accounting background Engagement Details Fractional / part-time Ongoing relationship (not a one-off task) Fully remote U.S.-based preferred What Success Looks Like Clean, reliable monthly close PSA billing and QBO always in sync No billing surprises Controlled AR aging Leadership trusts the numbers without double-checking 🎥 Mandatory Loom Video (Required to Be Considered) To be considered, you must submit a Loom video (3–5 minutes) covering the following: Your experience working with MSPs or IT support companies Your hands-on experience with ConnectWise Manage, Halo PSA, and QuickBooks Online How you typically handle PSA ↔ accounting reconciliation One example of a billing or reconciliation issue you’ve identified and fixed 🚫 Applications without a Loom video will not be reviewed.
