About Us: We’re a financial planning firm based in the San Francisco Bay area serving mid-career professionals, helping clients organize, plan, and make better financial decisions with clarity and confidence. We have an ambitious goal: to shift our firm into an AI-first organization, where AI becomes the operating system for how we work — from knowledge management to client workflows. We’re looking for an AI and automation consultant to help us lead this transformation. Job Description: We’re seeking an experienced AI and automation consultant to help us design, build, and maintain no-code or low-code automations across our firm. The first project will be to create an internal knowledge base that: Allows our team to search our existing SOPs (Word documents stored in SharePoint) through ChatGPT. Keeps content automatically synced when documents are updated. Enables team members to edit and update those SOPs easily through ChatGPT Once this project is complete, we anticipate ongoing collaboration on additional AI-driven automation projects, such as: Streamlining client data gathering and intake workflows. Automating compliance and documentation tasks. Building systems for content summarization (e.g., summarizing podcast episodes). Developing chatbots and workflow automations to improve efficiency. This role could evolve into a longer-term, fractional “Chief Automation Officer”-type position, helping guide our ongoing transition to an AI-first operating model. We’re looking for someone who: Has proven experience building automations or integrations that connect AI tools (specifically ChatGPT) with document management systems like SharePoint. Understands how to design secure workflows and advise on data privacy / PII considerations. Communicates clearly and can explain their approach in plain language. Can build systems that non-technical team members can easily use and maintain. Engagement: Project-based to start, with potential for ongoing hourly work Screening Questions (please answer all three briefly): 1. Technical Design – Describe (in a few sentences) how you would connect a company’s internal SOPs stored as Word documents in SharePoint to ChatGPT so that updates sync automatically and team members can query or edit content through ChatGPT. 2. Integration Challenges – What are the most common challenges you would expect trying to integrate external data sources into ChatGPT? As example, we’ve found that when trying to connect our Google Drive workspace to ChatGPT, it often has trouble finding folders or retrieving data consistently — and behaves differently depending on whether you’re chatting in a general chat, a GPT, or a project. Why does this happen, and what would you recommend to make it work reliably? 3. Data Security Awareness – In your own words, what are the key considerations when storing or processing sensitive or PII data using ChatGPT or other AI tools in a business setting?
