We are seeking a detail-oriented and professional Administrative Assistant to support the daily operations of our hotel in Sag Harbor. This individual will play a key role in ensuring smooth communication across departments, providing administrative support to management, and helping deliver an exceptional guest and employee experience.

Key Responsibilities

• Provide administrative support to hotel management, including scheduling, correspondence, and document preparation.

• Manage phone calls, emails, and inquiries, ensuring prompt and courteous responses.
• Assist with maintaining records, filing systems, and databases.
• Prepare reports, meeting notes, and presentations as needed.
• Support HR functions such as onboarding, maintaining personnel records, and coordinating staff schedules in collaboration with designated People Team Members.
• Assist with vendor communications, supply ordering, and invoice processing.
• Provide backup support to the Front Desk during peak times or staff shortages.

• Ensure confidentiality and professionalism in handling sensitive information.

• Previous administrative or hospitality experience preferred (hotel experience strongly valued).

• Proficiency in Google Suite and comfort with hotel management software.
• Strong organizational skills with the ability to prioritize and multitask.
• Excellent verbal and written communication skills.

• Professional demeanor, reliability, and a guest-service mindset.

• Ability to work both independently and collaboratively in a fast-paced environment.
