- POSITION SUMMARY: This position works with the Foundation for Jewish Day Schools (FJDS) and the Educational Improvement Tax Credit (EITC) program, the Jewish Federation’s Finance Department and the Fundraising department's EITC Committee. Responsibilities include coordination of donor processing activities, accounting and finance functions, scholarship eligibility and award functions, volunteer board support, communications (with schools, donors, board members, etc.) as well as state mandated compliance activities. This position is responsible for managing discrete projects, programmatic functions and collaborations as requested and supervised by the Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinate donation, deposit and disbursement of contributions in accordance with FJDS policies, Finance processes and DCED (Pennsylvania Department of Community & Economic Development) mandates for all educational tax credit programs.
- Maintain accurate contact list of donors, FJDS Board members and term records, and school administrators.
- Engage with schools and manage communications re: student eligibility, funds available, scholarship related matters and award parameters, state compliance, and relevant donor issues, as well as information re: meetings, trainings and events.
- Manage encumbered fund reconciliations via documentation and appropriate databases
- Enter reconciled funds available for each school into the third-party vendor platform.
- Ensure that scholarship assignments are assigned according to state requirements and FJDS board policy.
- Compile supporting financial, scholarship data and documentation for audits, 990s, annual DCED renewal, including demographic data and sourcing required letters of support or alignment, from affiliated organizations and school partners.
- Assist Finance staff and Director with compilation and disbursement of interest earned from account(s).
- Support Director to ensure that business donors remain compliant with processes and timelines.
- Organize and support quarterly Board Meetings, including creation invites, and collection of RSVPS and input of attendance into internal database, development of meeting documents, accommodation of technical needs, and draft of meeting summaries.
- Coordinate preparation and implementation of and follow up to the Foundation’s annual Continuing Education event.
- Work with marketing to create email distribution lists for all mass-marketed projects: holiday cards, CE event, donor-focused communications, and day school annual gala journal ads.
- Support the Director’s work on the EITC committee
- Requirements
- Strong communication skills to effectively work with Jewish Federation colleagues, Foundation for Jewish Day Schools board members, donors, school administrators, families, volunteers and partner entities.
- Excellent interpersonal and client-service skills and ability to handle confidential information.
- Ability to self-start, work independently and prioritize workload and assignment.
- Excellent organizational skills and proven attention to detail.
- Basic to intermediate skills in accounting/financial data compilation, management & analysis.
- Excellent relevant computer skills. Proficient in creating and following detailed and complicated Microsoft Excel spreadsheets/reports. Experience in other Microsoft Office applications such as Word and Access.
- General and business knowledge with preferred equivalent to a college degree with some specialized training in office administration and 3+ years of related administrative support services experience supporting professional/financial/executive work teams.
- Proven database experience required including data entry and report queries.
