Position Summary
- The Administrative Assistant is responsible for supporting daily office operations and front desk functions. This role serves as the first point of contact for employees, clients, and visitors, and provides administrative support to various departments. The ideal candidate is highly organized, detail-oriented, able to multitask, and maintains discretion when handling confidential information. Strong communication skills and alignment with our core values of safety, integrity, teamwork, and continuous improvement are essential.
Key Responsibilities/Essential Functions
- Front Desk & Office Support
- Serve as the first point of contact for visitors, employees, and clients, ensuring a professional and welcoming environment.
- Answer, screen, and direct phone calls, emails, and correspondence promptly.
- Manage incoming and outgoing mail and packages.
- Administrative & Clerical Duties
- Manage scheduling, including meetings, appointments, and conference room reservations.
- Organize and scan documents for electronic filing while maintaining accurate physical and digital filing systems.
- Support HR, Accounting, and Operations teams with clerical tasks as needed.
- Coordinate internal communications, such as staff announcements, meeting reminders, and office-wide updates.
- Departmental & Team Support
- Assist project managers and supervisors with documentation, reporting, and administrative tasks.
- Provide support to HR, Accounting, and Operations teams as needed.
- Serve as backup for other administrative staff when required.
- Compliance & Confidentiality
- Handle sensitive information with discretion and confidentiality.
- Ensure administrative practices align with company policies, safety standards, and regulatory requirements.
- Teamwork & Continuous Improvement
- Identify opportunities to improve office processes and workflows.
- Support company initiatives and contribute to fostering a positive, team-oriented environment.
- Perform other duties as assigned to support company operations.
Required Qualifications
- Ability to provide exceptional customer service and interact professionally with employees, departments, and management.
- Excellent verbal and written communication skills.
- Strong organizational skills, attention to detail, and ability to multitask effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to enter data accurately.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to work independently under moderate supervision.
- Reliable, punctual, and adaptable to changing priorities.
Desired Qualifications
- Minimum High school diploma or general education degree (GED)
- Prior experience in front desk, administrative, or office support role.
- Ability to work in a fast-paced environment and manage competing priorities.
- Bilingual skills (preferred, if applicable)
Company Requirements
- Legally authorized to work in the United States.
- Must be able to pass a background check and drug screening.
Physical Demands and Work Environment
- This position is primarily office-based and requires the ability to sit for extended periods of time at a desk using a computer and telephone.
- Occasional standing, walking, bending, or reaching may be necessary throughout the day.
- The role may occasionally require light lifting (up to 15-20lbs) for office-related tasks (e.g., files, supplies).
- The work environment is a professional office setting, with standard lighting, temperature, and noise levels typical of administrative environments.
Compensation and Benefits
- Hourly Rate: $20 - $25 per hour, depending on experience.
- Overtime: Eligible for overtime pay in accordance with federal and state labor laws.
