The UW Department of Pediatrics is dedicated to improving the health of all children and adolescents by educating physician leaders of the future, advancing research, advocating for children and providing the nation's best pediatric clinical care. The Department of Pediatrics is the second largest Department in the UW School of Medicine and includes 20+ sub-specialty divisions. About the Division of Developmental Medicine The Division of Developmental Medicine is comprised of 16 faculty members, 8 Advanced Practice Providers (APPs), and 9 dedicated research staff. The division is deeply committed to excellence in patient care, education, and research. Its mission centers on uncovering the genetic causes of brain malformations and developing innovative treatments to enhance the lives of patients and their families. The division also hosts one of the nation’s largest and most robust fellowship training programs. Its clinical footprint includes the UW Institute for Human Development and Disability clinics. The division currently has an exciting opportunity for an Administrative Assistant 3, who will provide high-level administrative support to the Division Head, and overall division operations. DUTIES AND RESPONSIBILITIES Division Head Administrative Support Organizing and managing the Division Head's calendar (Outlook), appointments, and meetings. Coordinating travel arrangements for the Division Head and others as necessary. Drafting, proofreading, and editing correspondence, reports, and presentations. Handling email correspondence and responding to inquiries on behalf of the Division Head. Handling sensitive and confidential information with the utmost discretion and professionalism. Provide agendas and meeting minutes for participants in regular meetings Division-wide Initiative Administrative Support Assisting in the planning and execution of division events, conferences, seminars, and workshops. Collaborating with other departments and divisions to facilitate communication and information sharing. Maintaining records, databases, and documentation related to the division's activities and ensure record keeping retention is compliant. Staff and Faculty Recruitment Support Facilitating communication with prospective faculty candidates expressing interest in our department. Managing the candidate's experience, including being the point of contact on Interview Days, arranging travel and lodging, coordinating rental accommodations, scheduling SCH clinic tours (if required), and aiding with reimbursement processes. Support the recruitment committee by managing interview logistics, including scheduling interviews for the interview panel. Conducting candidate screening for research and administrative staff positions. MINIMUM REQUIREMENTS High School Diploma or GED. Three years of office or administrative support experience, or equivalent education/experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS Previous administrative experience will be highly sought out. Previous experience working in higher education and/or in a medical or research setting. Must be proficient with Outlook, Microsoft Teams, PowerPoint, Zoom. The Administrative Assistant 3 should be organized, an effective communicator, proactive and willing to take initiative, flexible and able to adapt quickly to change, customer service oriented and has strong attention to detail. Working knowledge of University of Washington systems and procedures. Previous administrative experience will be highly sought out. Previous experience working in higher education and/or in a medical or research setting. Must be proficient with Outlook, Microsoft Teams, PowerPoint, Zoom.
