Job Description: JOB SUMMARY Work closely with Treasurer’s Office and Tax Claim Bureau staff issuing state licenses, including opening and processing dog license applications, opening and processing county/municipal real estate tax payments for both current year and delinquent years. Also assists Treasurer’s Office and Tax Claim Bureau FT staff waiting on customers at the counter and assisting customers over the phone during different peak times. Assists with Tax Claim tax sale preparation. REPORTING RELATIONSHIPS This position reports directly to Assistant Deputy Treasurer, position #500185 and Tax Claim Assistant Director, position #500180. There are no direct reports to this position. ESSENTIAL JOB FUNCTIONS Issue State Licenses – 30% Open and process envelopes with dog applications received via the US Postal Service. Issue dog, hunting, fishing, games of chance, and pistol permits to customers at the counter. Process applications, through accurate and efficient use of computers relating to data entry. Balance information entered by comparing accounting reports and calculator tape of payments received. Submit balanced reports and payments to supervisor to include in daily deposit. -Provide customer service in person and over the phone. Real Estate Taxes – 30% Open incoming mail, accurately accept and process payments received for current year real estate taxes through accurate and efficient use of computers relating to data entry. Accept real estate tax payments from taxpayers at the front counter. Balance information entered by comparing accounting reports and calculator tape payments received. Submit balanced reports and checks to supervisor to include in daily deposit. Provide receipts for individuals making payments. Provide customer service in person and over the phone. Tax Claim Bureau – 40% Assist Tax Claim FT staff in waiting on taxpayers at the counter. Accepting and receipting delinquent tax payments. Provide customer service in person and over the phone addressing delinquent tax related matters. Assist Tax Claim Bureau staff with preparation of Upset Tax Sale files through researching property owner information, sorting, alphabetizing, and filing various sale related documents in appropriate folders. Outcome – Clerical assignments will be completed accurately and efficiently. OTHER SPECIFIC TASKS OR DUTIES Must be available to report to work within 72 hours' notice. Perform other duties assigned by supervisor. MINIMUM QUALIFICATIONS High School Diploma or equivalent Knowledge of modern office technologies. Accounting or bookkeeping experience highly desired. KNOWLEDGE, SKILLS AND ABILITIES Excellent communication skills. Proficient in use of office equipment including personal computer, 10-key calculator, fax, copier, etc. Computer skills including Microsoft Word and Excel. Detail oriented with excellent mathematical skills. Ability to understand and follow both oral and written instructions. Ability to get along well with others.
