Job Description:

Job Title: Legal Assistant / Scheduler

Position Summary:

Magna Legal Services is seeking a Legal Assistant to join our team! The Legal Assistant will be supporting seven of our consultants for a variety of tasks. This individual will be responsible for preparing engagement letters, scheduling, tracking status reports, managing documents, and interacting with clients. We are looking for someone who has strong interpersonal and writing skills for internal and external communication.

Legal Assistant Responsibilities:

  • Legal assistant support for seven plus consultants
  • Prepare and send engagement letters for confirmed preparation sessions
  • Upload documents to cloud based filing system and work with defense counsel to obtain any missing documents that the consultant will need prior to the preparation sessions
  • Track status reports, upload final report to file and send email reminders as needed
  • Enter and track travel when needed with thorough review to confirm details are correct
  • Update file with whiteboard notes, change emails, etc. and file information with changes to defense counsel, claim reps, etc.
  • Update process board with progress of obtaining documents, travel, completion of preparation sessions, status reports, etc.
  • Assist with template updates and other administrative tasks as needed
  • Assist other team members as needed

Scheduler Responsibilities:

  • Coordinate to schedule witness preparation sessions including communicating with outside contacts to intake new witnesses, schedule sessions, answer scheduling and process questions, as well as coordinating in-house with team to organize and honor a multitude of calendars.
  • Keep multiple consultant calendars up to date with confirmations, cancellations, hold changes or expirations, etc.
  • Track all scheduling assignments, active or otherwise, along with dates being held and expiration of same.
  • Confirmed preps will need to be finalized and noted across several platforms; set up file share folder, update process board, update billing database, etc.
  • Set up each Zoom session for remote preparation and create witness specific PDFs to be sent to client.
  • Determine consultants’ availability for in -person preparation upon request with analysis of consultant preferences, surrounding calendar dates, and in-depth travel research.
  • Handle file changes and team updates across various platforms on defense counsel deviations, addition of contacts, law firm changes, etc.
  • Consistent document creation for use outside of Magna; including but not limited to multiple witness Excel spreadsheet, legal correspondence, change emails, etc.
  • Assist other team members as needed

Qualifications:

  • Excellent written and interpersonal communication skills with counsel and co-workers.
  • Ability to work as part of a team and collaborate, take directive from supervisor(s)
  • Strong attention to detail, good organizational skills and professionalism
  • Able to operate with a sense of urgency when necessary and pivot tasks based on operational needs
  • Experienced self-starter and reliable while working from home
  • Knowledge of internet software, word processing software and strong computer skills
  • Legal experience a plus

Compensation: USD $50,000 - $60,000 per year.

An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of the total compensation package for employees.
