Job Overview

Administrative Assistant Key Responsibilities
Administrative & Executive Support
- Manage calendars and scheduling for Leadership and office-wide activities.
- Act as the first point of contact for calls, emails, and general office inquiries.
- Handle scanning, printing, document preparation, and correspondence.
Office Management
- Maintain office efficiency by managing supplies, coordinating with the landlord, and overseeing general office upkeep.
- Organize team events, social gatherings, and lunch & learns.
- Oversee incoming and outgoing mail, packages, and deliveries.
Reporting & Documentation
- Create and maintain spreadsheets for tracking and reporting purposes.
- Assist with drafting, organizing, and maintaining contracts, proposals, and office documents.
- Generate reports related to office operations and functions.
Bookkeeping & Financial Support (in coordination with the accountant)
- Interface with external bookkeeping team to assist with invoice and expense tracking

Administrative Assistant Qualifications & Requirements
- Education: Associate’s or Bachelor’s degree preferred.
- Experience: Minimum 2 years in an administrative, executive assistant, or office management role.
- Skills: Strong organizational, multitasking, and problem-solving abilities.
- Communication: Excellent written and verbal communication skills.
- Technical Knowledge: Familiarity with basic accounting and IT systems is a plus.
Software Proficiency
- Microsoft Office Suite (Excel, Word, PowerPoint)
- Outlook & Calendar Management
- Microsoft Teams / Zoom (or similar communication platforms)
- Bonus: Experience with project management tools
Work Environment & Compensation
- Work Setup: This position is in-office, with occasional remote work flexibility as needed.
- Salary Range: $50,000 – $60,000 (commensurate with experience)
